Paralegal - Estate Administration
Paralegal — Estate Administration
Our client, a wellestablished law firm with a respected Estate Planning and Estate Administration practice, is seeking a seasoned Paralegal — Estate Administration to join its growing Tupelo team. This is an opportunity to step into an experienced, collaborative group and take immediate ownership of probate and trust administration matters from opening through closing — working directly with clients during one of the most important and personal moments of their lives.
About the Role
This position will primarily support the firm's Managing Partner, an experienced and highly engaged attorney with a busy estate planning and estate administration practice, with a primary focus on estate administration. The role may also provide occasional support to one or two additional attorneys within the group. The successful candidate will join an established team that already includes an experienced estate planning paralegal and two estate administration paralegals — adding capacity and expertise to a well run, growing practice rather than building one from scratch. The firm's culture is professional, collegial, and team-oriented, with many long-tenured employees and a strong emphasis on collaboration, responsiveness, and client service. This is a high-trust environment where paralegals are expected — and trusted — to manage files independently while staying closely connected to the team around them.
What You'll Do
- Manage estate administration, probate, and trust administration matters independently from opening through closing
- Assist with preparation of trusts, probate filings, property and business transitions, and conservatorships
- Draft, prepare, collect, organize, and file estate administration documents, trust administration records, real estate title documents, deeds, and memoranda of trust
- Obtain documents and records from clients, state agencies, and local agencies
- Review client financial information; audit documents for accuracy; draft estate tax analysis
- Prepare final estate planning letters, including executed documents and trust funding recommendations covering investment accounts, real estate, life insurance, and retirement assets
- Review revocable and irrevocable trusts, LLC operating agreements, and corporate bylaws
- Proofread legal documents for accuracy and consistency
- Keep attorney deadlines on track through organized scheduling and proactive reminders
- Maintain organized digital files in iManage and paper files as required
- Communicate professionally and compassionately with clients in person, by phone, and virtually
- Record billable time daily and meet an annual billable hour goal of 1,500 hours
What We're Looking For
- 5-7+ years of paralegal experience, ideally concentrated in estate administration, probate, trusts, or related estate matters
- Solid working knowledge of probate and trust administration processes, with the confidence to manage matters independently
- Strong paralegal experience in other practice areas will be considered, though estate administration experience is a significant advantage
- High level of computer literacy, including proficiency in MS Office (Excel and PDF) and document management systems; iManage experience a plus
- Excellent organizational skills and the ability to prioritize multiple active matters simultaneously
- Strong written and verbal communication skills, with sound judgment and a high degree of professionalism and discretion
- A proactive mindset — someone who anticipates next steps rather than waiting to be told
- Comfort working directly with clients through sensitive, emotional, and often complex situations
- A collaborative approach that complements an established team of estate planning and estate administration paralegals
- A four year degree and/or paralegal certificate is preferred; significant relevant experience may substitute for formal education
Why This Role
- Join a busy, well-respected estate planning and estate administration practice with steady, meaningful work
- Work alongside an experienced, engaged Managing Partner and a tenured team of paralegals who collaborate and support one another
- Step into a firm culture built on professionalism, collegiality, and long-term relationships — not high turnover
- Take ownership of matters from start to finish, with the autonomy seasoned paralegals are looking for
- Be part of a growing practice where your expertise is valued from day one
If you're an experienced estate administration, probate, or trust paralegal ready to bring your skills to a respected, team-oriented practice, we'd love to hear from you.
