Sales Support Coordinator
Job Description
This role supports a growing field service operation by coordinating customer requests, service quotations, order documentation, scheduling details, and project follow-up. The right person will be organized, customer-focused, and comfortable working between sales, service technicians, customers, subcontractors, and internal departments to keep work moving accurately and on time.
This is a hands-on business support position for someone who can manage multiple priorities, communicate clearly by phone and email, and keep detailed records so quotes, orders, shipments, service work, and invoices do not fall through the cracks. Prior experience with construction, contractors, service estimating, or technical product support is helpful.
Primary Responsibilities
· Prepare and follow up on smaller service quotations, active orders, service requests, and project-related customer needs.
· Coordinate with outside sales, field service personnel, customers, vendors, and subcontractors to support service scheduling and job completion.
· Process purchase orders, service job sheets, customer invoices, contract review details, and order-entry documentation accurately and on time.
· Maintain clear records of pending, active, completed, invoiced, and open service work to support accurate customer follow-through.
· Provide price, availability, shipping, order, and quote updates while involving technical resources when issues are more complex.
· Update customer, prospect, and project records in internal systems after customer interactions.
· Assist with short-term project coordination, lead follow-up, prospecting, and business-development outreach as assigned.
· Build a practical working knowledge of technical products, service capabilities, and how customers use the equipment.
· Support quality, safety, environmental, and continuous-improvement practices through daily work habits.
Background and Skills
· Business degree preferred, or equivalent business/customer-service/service-support experience.
· Experience estimating, bidding, coordinating field work, or working with contractors is a plus.
· Proficiency with Outlook, Teams, Word, Excel, and PowerPoint; SAP or CRM exposure helpful.
· Ability to type at least 50 WPM with strong accuracy.
· Comfort calculating discounts, percentages, proportions, currency conversions, and basic project figures.
· Ability to read business information, communicate professionally, and present information clearly to customers and internal teams.
· Strong organization, time management, follow-through, and problem-solving skills.
Work Environment / Physical Requirements
· Primarily office-based support role with regular sitting, computer use, phone/email communication, and occasional movement around a facility.
· Occasional exposure to shop, service, or job-site environments may occur when supporting customer or field service needs.
· Infrequent travel may be required for customer visits, job-site learning, trade shows, or service-support activities.
