Position Overview

The Business Operations Manager is responsible for managing the logistics, processes, and resources that enable individuals and teams to operate efficiently and effectively across the organization. The role also leads the marketing and office management functions, including some direct reporting responsibility, while collaborating extensively with corporate support teams and key business stakeholders.


Key Responsibilities

General Office Operations

  • Manage day-to-day office logistics across multiple locations.
  • Collaborate with various business units to support operational effectiveness and efficiency.

Facilities & Asset Management

  • Oversee maintenance and upkeep of office facilities.
  • Act as the primary point of contact for office-related staff support.
  • Manage physical assets throughout their lifecycle.
  • Coordinate lease administration and landlord relationships.
  • Manage external service providers and facility vendors.

Vendor & Supply Chain Management

  • Oversee vendor relationships and procurement processes.
  • Identify opportunities to improve supply chain efficiency and cost effectiveness.

Marketing & Promotions

  • Coordinate marketing and advertising initiatives in alignment with company strategy.
  • Manage industry events, sponsorships, and promotional activities.
  • Oversee production and administration of marketing materials.
  • Coordinate client and market communications.
  • Provide leadership and direction to marketing personnel.

Process Management

  • Lead workflow and process improvement initiatives.
  • Manage document and file organization systems.
  • Facilitate internal process enhancement initiatives.
  • Drive organizational change management efforts.
  • Support development and implementation of AI and technology strategies in collaboration with business leaders and IT.

Data Management & Reporting

  • Oversee data management practices and reporting processes.
  • Monitor key performance indicators and business metrics.
  • Partner with leadership to identify opportunities for operational improvement through data analysis.

System Administration & Business Applications

  • Serve as the internal subject matter expert for the organization's broker management system.
  • Support staff training, system enhancements, workflow improvements, and upgrades.
  • Liaise with external support resources and technology partners.
  • Ensure consistency, compliance, and best practices across the organization.

Business Development Support

  • Coordinate industry association memberships and events.
  • Support business development initiatives and promotional activities.
  • Assist leadership teams in achieving growth objectives.

Culture & Employee Engagement

  • Foster a collaborative and high-performing workplace culture.
  • Participate in employee engagement and culture initiatives.
  • Coordinate internal events and recognition programs.
  • Support community involvement and corporate social responsibility activities.

Carrier & Partner Administration

  • Maintain carrier agreements and related documentation.
  • Coordinate updates, onboarding of new partners, and compliance requirements.
  • Assist with reporting and performance tracking initiatives.

Qualifications

  • Minimum 3 years of operations management experience within the insurance industry.
  • Commercial insurance brokerage experience is strongly preferred.
  • Strong organizational, communication, and stakeholder management skills.
  • Demonstrated ability to work independently and drive initiatives forward.
  • Strong analytical, problem-solving, and process improvement capabilities.
  • Strategic thinking and negotiation skills.
  • Advanced proficiency with Microsoft Office applications.
  • Experience with broker management systems is preferred.
  • Project management experience or formal project management training/certification is considered an asset.
  • Experience leading change management, technology implementation, or operational improvement initiatives is highly desirable.
