POSITION OVERVIEW – CONSTRUCTION ADMINISTRATOR
MDS Staffing is seeking a Construction Administrator to support the successful execution and delivery of construction projects.
The Construction Administrator will play a key role in managing construction-phase activities, coordinating with project teams, owners, contractors, and internal stakeholders to help ensure projects are completed accurately, efficiently, and in alignment with contract documents.
This individual will provide technical knowledge of construction procedures, specifications, construction administration processes, and AIA contract documentation. The ideal candidate will be proactive, organized, detail-oriented, and comfortable working in a highly collaborative environment.
TYPICAL RESPONSIBILITIES
Responsibilities may include, but are not limited to:
- Assist the Project Architect in preparing specifications and reviewing details for constructability.
- Apply a basic understanding of architectural, electrical, civil, and structural engineering construction practices.
- Work with architects, owners, and contractors to help deliver successful projects through the construction phase.
- Perform site visits and field observations.
- Lead and attend project meetings, document field-discovered issues, and issue meeting minutes.
- Help resolve field construction issues quickly and efficiently.
- Coordinate construction administration activities across multiple disciplines, including mechanical, electrical, structural, civil, landscape, and interiors.
- Ensure contract adherence with design documents.
- Perform quality control reviews of plans for constructability and provide feedback on potential issues.
- Maintain a thorough understanding of design documents and project intent.
- Prepare and process construction administration documents such as ASIs, PRs, CCDs, Certificates of Substantial Completion, Cure Notices, and related project documentation.
- Work with contractors, internal teams, and business office personnel to help close out projects efficiently.
- Attend pre-bid meetings, pre-construction meetings, and project construction meetings.
- Prepare meeting agendas and meeting minutes.
- Facilitate completion and review of shop drawing documentation.
- Keep management and department leaders informed regarding project issues, solutions, status updates, and concerns.
- Analyze, approve, or reject submittals, payment applications, requests for changes, supplemental instructions, and related construction-phase documentation.
- Represent the project team professionally during construction-phase interactions with owners and contractors.

EDUCATION & EXPERIENCE
- Bachelor’s degree in Architecture, Construction Administration, Construction Management, or related experience preferred.
- Contracting or construction administration experience may also be considered.
- Minimum of 3 years of relevant experience preferred.

The ideal candidate will have a practical, hands-on understanding of construction processes while also bringing a thoughtful and solution-oriented approach to project challenges.
Qualified candidates should have:
- Comprehensive knowledge of construction procedures, construction techniques, and general building codes.

- Strong interpersonal skills with the ability to work effectively with architects, designers, engineers, project managers, contractors, and owners.

PHYSICAL REQUIREMENTS
- Must be able to work in a professional office environment.
- Must be able to safely navigate active construction sites.
- Must be able to work outdoors in various weather and site conditions, including exposure to dust, fumes, vapors, and changing climate conditions.
- Must have a valid driver’s license.
- Must be willing to wear required personal protective equipment on construction sites.
- Must be able to communicate effectively with contractors, owners, and internal project teams.
- Must be able to manage stress, prioritize tasks, and perform job responsibilities effectively.
- Regional travel to construction sites may be required.
