Operations Manager

Role Overview
The Operations Manager is the operational backbone of the company. This role owns the administrative, financial, and people operations that keep the organization running smoothly and compliantly day to day. This is a fast-paced, execution-heavy role best suited for someone who thrives in complexity, enjoys managing multiple priorities at once, and brings precision and structure to everything they touch.
The Operations Manager will project-manage workflows across up to four organizations simultaneously, ensuring accuracy, consistency, and follow-through without sacrificing speed.

Key Responsibilities
Financial & Administrative Operations
- Manage all accounts payable and accounts receivable, ensuring accurate coding, documentation, and timely processing
- Track expenditures with precision and support grant-related financial oversight
- Assist the COO in monitoring budgets and ensuring fiscal responsibility
- Prepare and maintain operational and financial reports as needed
Vendor, Contract & Compliance Management
- Oversee vendor relationships, contracts, renewals, and procurement processes
- Liaise with professional service providers including PEO, accounting, audit, legal, and IT vendors
- Ensure ongoing compliance with nonprofit, legal, regulatory, and internal policy standards
- Regularly review and refine policies and procedures to ensure clarity, adoption, and efficiency
People Operations (Remote)
- Own the full employee lifecycle including hiring coordination, onboarding, offboarding, and documentation
- Manage the organization’s PEO relationship and ensure compliance for a distributed team
- Maintain organized personnel records and ensure policies are clearly communicated and followed
- Support a positive, well-structured remote work environment aligned with organizational values
Systems, Tech & Process Optimization
- Manage the company's tech stack, including software subscriptions, permissions, and standard usage
- Audit workflows to identify inefficiencies and implement process improvements
- Use technology and AI tools to automate tasks, reduce manual work, and eliminate operational friction
- Proactively identify and mitigate cybersecurity risks
Cross-Functional & Project Management
- Project-manage operational workflows across multiple initiatives and partner organizations
- Coordinate closely with program managers to assess operational needs and support program delivery
- Serve as a reliable internal point of coordination, ensuring stakeholders stay aligned and informed
