We are seeking a highly organized, proactive, and detail-oriented Remote Administrative Assistant – Placement Support to support our placement operations. This role is ideal for someone who enjoys communication, organization, document management, and helping keep processes moving efficiently in a remote environment.
Position Summary
The Remote Administrative Assistant – Placement Support will provide administrative support for the placement process by helping coordinate communication, documentation, onboarding steps, and scheduling details between dental professionals, clients, and client representatives. This role is focused on administrative coordination and process support rather than recruiting or business development.
The ideal candidate is organized, responsive, detail-oriented, and brings a strong sense of urgency, a can-do attitude, and a commitment to following tasks through to completion. This position is best suited for someone who takes ownership of their work, maintains high personal standards, and works with professionalism and follow-through in a fast-paced remote setting. This role also supports internal administrative operations by helping maintain accurate contracts, SOPs, templates, and other key business documents.
Key Responsibilities
- Communicate with dental professionals regarding placement opportunities, onboarding steps, and assignment details by phone, text, and email.
- Communicate with clients and client representatives regarding placement needs, schedules, documentation, and assignment updates
- Coordinate the placement process between candidates and clients.
- Maintain accurate and up-to-date candidate profiles, placement records, and client information in the applicant tracking system (ATS) or internal systems
- Source new candidates
- Assist with onboarding and credentialing steps for candidates
- Collect, track, and organize required documents, including licenses, certifications, CPR cards, radiography certifications, background check documentation, and employment agreements
- Support client-specific onboarding and documentation requirements for both government and local placements
- Help ensure compliance documents are collected and maintained according to client requirements and applicable state dental board regulations
- Confirm placement details, schedules, start dates, and assignment expectations with candidates and clients
- Maintain and update contracts, SOPs, templates, onboarding materials, and other internal documents to support organized and efficient operations
- Help keep placement, onboarding, and compliance documentation accurate, current, and easily accessible
- Generate weekly reports related to placement activity and administrative progress
- Enhance social media presence and manage postings
- Provide direct administrative support to the President
- Assist with general administrative duties and special projects as needed
Qualifications
- 1–2 years of administrative experience, preferably in healthcare, dental, staffing support, or a related field
- Strong written and verbal communication skills in both candidate-facing and client-facing situations
- Excellent organizational skills and strong attention to detail
- Ability to manage multiple tasks, deadlines, and follow-up items in a remote work environment
- Proficiency in Microsoft Office, Google Sheets, and database or ATS systems
- Ability to handle confidential and sensitive information professionally
- Strong time management, follow-through, and problem-solving skills
- Ability to work independently while supporting a remote team
- Strong sense of urgency with the ability to prioritize and respond quickly when needed
- Self-motivated, proactive, and solution-oriented with a can-do attitude
- Takes ownership of responsibilities and consistently follows tasks through to completion
- Driven to maintain high personal standards and continuously improve
Preferred Qualifications
- Previous experience in a dental office, healthcare office, or administrative support role
- Familiarity with dental terminology, licensure, and credentialing documentation
- Experience supporting onboarding, compliance, scheduling, or placement-related processes
- Experience working with clients, facilities, or client representatives in an administrative capacity
