Accounting & Office Administrator

Pay: $20–$25 per hour, based on experience

We’re looking for an experienced Accounting & Office Administrator to support our daily office operations, bookkeeping, and accounting functions. This is a great opportunity for someone who enjoys a hands-on role, takes pride in accuracy, and wants to be part of a close-knit, growing team.
Key Responsibilities
Accounting & Bookkeeping
- Process accounts payable and manage monthly vendor payments.
- Reconcile vendor invoices with monthly statements.
- Prepare weekly customer invoices for service, residential, and project work.
- Process customer payments via credit card, check, and ACH.
- Enter purchase orders, pick tickets, receipts, and expenses into accounting software.
- Maintain accurate job folders and track project-related expenses.
- Assist with job costing and monitor overbillings and underbillings.
- Prepare monthly journal entries and maintain accurate account balances.
- Process internal payroll in coordination with the company's CPA firm.
- Prepare and maintain project documentation, including AIA billing forms, lien waivers, and sworn statements.
Office Administration
- Answer and direct incoming phone calls.
- Maintain organized electronic and hard-copy files.
- Collect and maintain subcontractor W-9 forms and certificates of insurance.
- File receipts, expenses, and supporting documentation.
- Make copies and assist with general office tasks.
- Provide administrative support to the team and perform other duties as assigned.
Qualifications
- Associate degree in accounting, finance, or a related field required.
- Previous bookkeeping and accounting experience required.
- Experience with accounts payable, accounts receivable, invoicing, and payroll.
- Knowledge of journal entries, job costing, and general ledger account balances.
- QuickBooks experience preferred.
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and OneNote.
- Strong attention to detail, organization, and time-management skills.
- Excellent written and verbal communication skills.
- Ability to work independently, prioritize tasks, and meet monthly deadlines.
- Professional, positive attitude with a strong commitment to customer service.
- Current notary license or willingness to obtain one.
