Executive Administrative Assistant (Part-Time)

Location: St. Charles, IL (Onsite)
Schedule: Part-Time | 20–24 hours per week

Position Overview

Our client is seeking a highly organized, professional, and discreet Executive Administrative Assistant to provide dedicated support to executive leadership. Responsibilities

  • Provide comprehensive administrative support to executive leadership.
  • Manage complex calendars, appointments, and scheduling.
  • Coordinate personal and business travel arrangements, including itineraries and accommodations.
  • Organize meetings, prepare agendas, and coordinate meeting logistics.
  • Draft, edit, and manage professional correspondence, reports, and presentations.
  • Screen communications and prioritize requests appropriately.
  • Maintain confidential records and handle sensitive information with the utmost discretion.
  • Assist with special projects and executive initiatives as needed.
  • Support office operations and collaborate with team members to ensure organizational efficiency.
  • Assist with accounting-related administrative tasks and payroll support, when needed.

Qualifications

  • 3+ years of experience supporting senior executives or C-suite leadership.
  • Demonstrated ability to handle highly confidential information with professionalism and discretion.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Experience coordinating executive calendars, meetings, and travel.
  • Accounting and/or payroll experience is a plus.
  • Self-motivated, dependable, and able to work independently.
  • Positive attitude with a collaborative, team-oriented mindset.
