Overview
A growing, family-owned manufacturing company in St. Charles is seeking a reliable and highly organized Administrative Assistant to support daily office operations. This role serves as the administrative assistant to the CEO while also acting as the front office point of contact for customers, vendors, and internal teams. The ideal candidate is professional, detail-oriented, and comfortable balancing administrative duties with customer service, sales support, and inventory coordination.
This is an onsite, contract-to-hire opportunity with the potential for long-term growth within a collaborative and team-oriented environment.
Key Responsibilities
Executive & Administrative Support

Provide administrative support to the CEO including scheduling, correspondence, and general office coordination

Prepare documents, reports, and spreadsheets as needed

Maintain organized files and assist with general administrative projects
Front Desk & Office Operations

Serve as the first point of contact for visitors, customers, and vendors

Answer and direct incoming phone calls in a professional manner

Manage incoming and outgoing mail and support general office tasks
Customer Service & Sales Support

Respond to customer inquiries via phone and email

Provide administrative support to the Sales Manager

Assist with order coordination, documentation, and follow-ups with customers

Help ensure timely communication between customers and internal teams
Inventory & Purchasing Support

Assist with inventory tracking and data entry

Help monitor stock levels and support inventory updates

Provide customer support related to purchasing and order status
-
Coordinate with internal teams regarding product availability and order fulfillment

Experience with inventory systems such as Made2Manage (Made to Manage) is a plus
Qualifications

2+ years of administrative, office coordination, or customer support experience
-
Previous experience supporting executives or leadership teams preferred

Basic understanding or experience working with inventory systems or inventory tracking

Strong customer service and communication skills

Ability to multitask and prioritize in a fast-paced environment

Proficiency with Microsoft Office (Word, Excel, Outlook)

Experience with ERP or inventory management software is a plus
