Job Title: Medical Receptionist

Position Summary

The Patient Check-Out Representative plays a key role in providing excellent patient service while supporting the administrative and billing functions of the practice. This position serves as a primary point of contact for patients as they complete their visit, ensuring accurate scheduling, documentation, billing, and follow-up coordination.

Key Responsibilities

  • Greet patients and act as a liaison for patients and family members

  • Verify patient demographics, insurance information, and required chart documentation

  • Schedule tests, procedures, and follow-up appointments using the electronic health record (Allscripts) and online systems

  • Obtain insurance authorizations as needed

  • Submit prescriptions electronically to the appropriate pharmacy

  • Answer and route phone calls appropriately

  • Prepare recall letters and related patient documents

  • Reconcile encounter forms and generate daily recap and missing encounter reports

  • Perform charge entry, payment posting, and assist with billing questions

  • Balance cash drawers and submit daily collections to the Office Manager

  • Provide general administrative and clerical support

  • Perform other duties as assigned

Education & Experience

Required:

  • High school diploma or GED

  • Experience working in a medical office

  • At least one year of experience in charge entry and/or payment posting

Preferred:

  • Knowledge of medical terminology

  • Experience in healthcare administration

  • Strong computer skills, including electronic medical records and scheduling systems

  • Familiarity with customer service, clerical, and administrative procedures
