This role supports the daily flow of customer purchase activity from receipt through system entry, documentation review, issue clarification, and internal coordination. The position is best suited for someone who is highly organized, comfortable managing multiple requests at once, and able to keep customer-facing work moving with accuracy and urgency.

The successful candidate will review inbound orders for completeness, verify information against internal requirements, maintain customer and shipping records, communicate discrepancies or needed revisions, and coordinate with sales and cross-functional teams so work can be processed correctly the first time. The position also assists with customer concerns, shared phone coverage, and other operational support projects as business needs evolve.

Core Responsibilities

• Acknowledge incoming order activity and process requests in a timely, accurate manner.

• Review customer purchase documents for completeness, compliance, and internal processing readiness.

• Enter orders and supporting details into the business system with a strong focus on data integrity.

• Maintain ship-to information, contacts, and related account records.

• Communicate clearly with customers and internal partners when corrections, clarification, or updates are needed.

• Coordinate with sales and other departments to align order details with customer expectations and internal procedures.

• Document customer concerns, service issues, and follow-up items appropriately.

• Participate in shared phone or team support coverage as assigned.

• Contribute to special projects and general administrative support activities.

Preferred Background

• Post-secondary education or comparable training is helpful.

• Prior experience in order entry, customer support, inside sales support, contract review, or data-intensive clerical work is preferred.

• Industrial or product-based business exposure is beneficial but not required.

Skills and Capabilities

• Typing speed of at least 50 words per minute with strong accuracy.

• Comfortable with Microsoft 365 applications, especially Word, Excel, Outlook, and Teams.

• Strong written and verbal communication skills.

• Good judgment and critical thinking when resolving order-related questions.

• Excellent attention to detail and follow-through.

• Able to prioritize work effectively in a fast-moving environment with interruptions and time pressure.

• Solid organizational habits and dependable work pace.

Work Style and Functional Requirements

• Ability to read customer documentation and interpret instructions accurately.

• Basic math skills, including calculations involving percentages, rates, decimals, and standard arithmetic.

• Primarily office-based work with regular keyboard and screen time.

• May occasionally need to stand, walk, reach, or lift light items during the workday.
