SunState Health Staffing has been retained as the recruitment partner for an established outpatient healthcare organization seeking a highly organized Referral Coordinator to support specialty care coordination.

ROLE SUMMARY
The Referral Coordinator plays a central role in managing the end-to-end referral process to ensure patients are efficiently connected with specialty providers. This position requires strong attention to detail, the ability to manage multiple referral workflows, and consistent communication with patients, providers, and external offices.

SCHEDULE AND WORK–LIFE BALANCE

  • Monday through Friday, 8:00 in the morning to 5:00 in the afternoon

  • No evenings or weekends

  • Stable weekday schedule supporting work–life balance

CORE FUNCTIONS

  • Coordinate and process referrals to external specialists and healthcare facilities in accordance with practice protocols

  • Review incoming referral requests and prioritize urgent or time-sensitive cases

  • Validate provider documentation to confirm medical necessity and referral compliance

  • Prepare and submit service denial documentation for referrals that do not meet requirements, escalating as appropriate

  • Compile, organize, and transmit medical records and supporting clinical documentation to specialty providers

  • Serve as a primary point of contact for patients and providers regarding referral status and questions

  • Maintain detailed referral tracking logs and prepare monthly activity reports for management review

  • Identify referral-related issues and communicate concerns to leadership in a timely manner

  • Perform additional administrative or coordination duties as assigned

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent required

  • Prior experience in a medical office or healthcare administrative setting preferred

  • Strong customer service orientation with a patient-focused approach

  • Excellent verbal and written communication skills

  • Ability to collaborate effectively within a multidisciplinary team

  • Strong organizational skills with the ability to manage multiple tasks simultaneously

  • Demonstrated problem-solving abilities and sound judgment

  • Dependable, detail-oriented, and consistent in follow-through
