Division/Department/Program: Strive Resiliency (Mental Health) Clubhouse

 

The Strive Resiliency Clubhouse provides individual therapy, skills groups, family support groups, and activities and outings to members ages 6-18 with a mental health diagnosis. Strive provides a space free of stigma and uses DBT informed practices to build skills that members can use in their daily lives.

 

 

The Program Assistant is responsible for overseeing patient flow and ensuring the center’s administrative needs are being met. Resolves routine administrative problems independently and registers new clients during open access in a timely manner, check-in and check-out clients for their appointments, schedules hospital discharge appointments, and answer telephone calls in a professional and courteous manner. Verifies authorization, treatment plans, connects orders for service, consent, and eligibility for future appointments.

 

 

This position will maintain databases, logs, and other records of routine information. Responds to requests for information and maintains an organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.

 

 

Under general supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical

functions in support of a unit or office and related personnel. May enter data and/or

process documents and records. The work includes operating standard office equipment. Work is performed under the general supervision of a clerical or administrative supervisor.

 

 

Duties & Responsibilities:

·         Manage front lobby and provide information about program services over the phone.

·         Gather all Pcard receipts and upload them into banking portal.

·         Manage petty cash, Multiview supply orders, make check requests.

·         Log and upload pertinent client documents received from external outlets into electronic medical records.

·         Coordinate building and vehicle maintenance.

·         Serve as first contact for referrals, inputting information into Carelogic and following up to obtain documentation needed for intake.

·         Serve as Safety Committee Representative attend meetings and conduct drills.

·         Transport members to and from Clubhouse and outings.

·         Co-facilitate skills groups with members.

·         Participate in outings and activities.

Minimum Qualifications:

High school diploma or GED AND Two (2) years of general office or administrative experience

 

 

Preferred Qualifications:

·         Minimum one (1) year experience working in a medical/mental health setting.

·         Bilingual in Spanish and English

·         Outgoing, engaging, and personable communication skills

·         Experience leading skills groups with children/teens

·         Experience working in a medical or psych office, or DBHDD.

·         Experience using Carelogic or other electronic record systems.

·         Excellent computer skills including familiarity with Microsoft Word, Excel,

and Med Terminology are essential.

·         Highly organized and detail oriented

Requirements/Competencies:

·         Bi-Lingual (Spanish)

·         Must be able to lift 20 pounds.

·         Requires long periods of sitting/standing.

·         Must be able to respond quickly to sounds.

·         While performing the duties of this job, the employee is frequently required to sit, move about, hear and speak.

·         Candidates for selection must pass a criminal background check (including fingerprinting)

·         Must pass a pre-employment drug screen and subject to random drug screens.

·         Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities Note: Some positions may require a valid driver's license.
