Our client is a highly regarded, $3B AUM investment firm deploying capital across the capital structure of real estate and asset-intensive businesses. The firm operates with a disciplined, institutional approach and maintains a lean, high-performing team.
They are seeking a polished and experienced Office Manager to oversee the day-to-day operations of their New York office. This individual will play a critical role in maintaining an exceptional workplace environment while providing seamless support to senior leadership. The position is based in Midtown Manhattan (4 days in-office), with occasional travel to the firm’s Stamford, CT office.
Key Responsibilities
- Oversee all aspects of office operations, ensuring a highly organized, efficient, and professional environment
- Manage relationships with key vendors -building management, IT, and facilities
- Coordinate office logistics (space planning, supplies, equipment, and maintenance)
- Provide high-touch administrative support to senior executives, including complex scheduling, meeting coordination, and travel management
- Lead the planning and execution of internal events and select client-facing functions
- Oversee onboarding logistics for new hires in coordination with HR and IT
- Manage office budgets, invoice processing, and expense reporting with precision
- Act as the primary liaison for external service providers and building management
- Establish and refine office policies, procedures, and operational best practices
- Ensure adherence to firm policies and NYC workplace standards
Qualifications
- 8+ years of office management experience within a hedge fund, private equity, or institutional financial services environment
- Demonstrated ability to operate effectively in a fast-paced, high-expectation setting
- Exceptional organizational skills and attention to detail
- Proven ability to handle sensitive information with discretion and sound judgment
- Proficiency in Microsoft Office Suite, Concur, Zoom, and Microsoft Teams
- Managing vendors, budgets, and office operations in a NYC commercial setting
- Prior experience supporting senior investment professionals or C-level executives
- Strong understanding of financial services culture and expectations
- Proactive, resourceful, and solutions-oriented mindset
- Experience managing executive travel and expense reporting
- Event planning and project management capabilities
Compensation & Benefits
- Base Salary: $180,000 – $220,000 + Bonus: 10% – 15%
