We’re seeking an experienced and reliable QuickBooks Bookkeeper to support the financial operations of our one of our division. This role will be responsible for  tracking technician  hours, processing payroll, pulling descriptions to build client invoices, and overseeing invoicing and receivables. The ideal candidate will have prior experience supporting a services-based company, particularly with both hourly and fixed-price billing models.


Key Responsibilities:

  • Payroll & Time Reporting
    • Collect weekly time reports from technicians
    • Review and validate technician hours for accuracy
    • Process payroll on a weekly basis
  • Financial Management
    • Create and maintain financial projections for revenue and expenses
    • Manage the staffing division’s P&L and report key variances
    • Generate payout summaries for consulting engineers based on project milestones and time worked
  • Accounts Payable & Receivable
    • Manage vendor and contractor payments
    • Track receivables, follow up on outstanding invoices, and ensure timely client payments
  • Invoicing
    • Prepare and send weekly client invoices, ensuring alignment with project agreements and billing schedules
    • Track invoice status and reconcile payments
  • Reporting
    • Collaborate with the VP of Finance to prepare regular financial summaries and dashboards
    • Maintain clear, organized records for audits and compliance

Qualifications:

·        Solid understanding of GAAP (Generally Accepted Accounting Principles) and how they apply to bookkeeping and reporting

·        6+ years of QuickBooks experience, preferably in a services-based business

·        Familiarity with Autotask or similar Project Management tools

·        Experience with hourly and fixed-price billing models (preferred)

·        Experience managing P&L, payroll, A/P, A/R, and client invoicing

·        Proficiency with Excel, and time tracking/payroll tools (e.g., Gusto, ADP, or similar)

·        Exceptional attention to detail and organizational skills

·        Ability to manage multiple deadlines and priorities with minimal supervision

·        Strong communication and collaboration skills
