Our client, a fast growing tech start up based in Baton Rouge, LA is seeking an experienced and proactive Office Admin/Administrative Assistant to serve as the operational hub for a growing and thriving organization. This role is a key partner to the executive team (primarily supporting the CEO in various day to day duties), while also supporting operations and ensuring the office runs smoothly in a fast-paced, entrepreneurial environment. Key Responsibilities
Office Operations (Core Duties):
- Oversee daily office operations and serve as the primary point of contact for internal staff, external vendors, and visitors.
- Manage and maintain the physical office space, including managing office equipment, utilities, and security protocols.
- Implement, document, and improve office procedures to support efficiency and growth.
- Manage vendor relationships, contracts, and purchasing of all office supplies, services, and equipment.
Executive Support:
- Provide high-level support to executive leadership, including complex scheduling and meeting coordination.
- Coordinate, plan, and prepare for internal and external meetings, including creating presentations or materials.
- Handle confidential correspondence, reports, and documentation with discretion and professionalism.
Operational Improvement:
- Partner with leadership to evaluate and recommend tools, systems, and processes that improve workflow and operational effectiveness.
- Assist with onboarding new employees (coordinating workspace, IT setup, and introductory materials).
- Other general office support duties as assigned
Qualifications
- Experience: 5+ years of experience in office management, administrative leadership, or executive support roles.
- Executive Partnership: Prior experience working directly with executives and serving as a partner in decision-making processes.
- Technical Proficiency (Required): Proficiency in Microsoft Office Suite required.
- Excellent organizational skills with the ability to set priorities and adapt quickly to changing needs.
- Proven ability to manage multiple projects in a fast-paced environment, while maintaining accuracy and attention to detail.
- Exceptional communication skills, both written and verbal.
- Strong interpersonal skills with the ability to collaborate and build trust across teams.
