A German client of ours is seeking a Head of Operations to step into a broad, business-critical leadership role at a pivotal moment for the U.S. organization. This position is designed for a hands-on operator who can bring structure, continuity, and strong execution across core business functions while helping guide the company through an important stage of operational maturity.

Reporting to leadership in both the U.S. and Germany, you will act as a central operating hub across operations, finance coordination, HR administration, and systems enablement. You will play a key role in ensuring the business runs smoothly day-to-day while building scalable processes, improving visibility across the quote-to-cash lifecycle, and strengthening the internal support structure.

This role is ideal for someone who thrives in a growing organization, is comfortable wearing multiple hats, and can balance strategic leadership with direct execution. Success will come from improving how work gets done, reducing operational friction, building a high-performing team, and serving as a trusted partner across departments and international stakeholders.

This positions reports directly to President and CEO.

 

Responsibilities:

1. Operational Leadership & Business Continuity

  • Own day-to-day operational leadership
  • Ensure continuity across core business processes during a period of transition
  • Lead by example in a remote, fast-moving environment with accountability and follow-through
  • Identify priorities, clarify responsibilities, and improve organizational structure

 

2. Quote-to-Cash & Order Management Execution

  • Oversee the full operational workflow from closed-won opportunity through invoicing and fulfillment
  • Process customer registrations, purchase orders, and order validation
  • Ensure SKU accuracy, pricing consistency, and order completeness
  • Track order status, shipment progress, and proof-of-delivery documentation
  • Reduce cycle time from order confirmation to invoice

 

3. CRM, Data Integrity & Systems Adoption

  • Maintain high standards of CRM (Salesforce) data accuracy and hygiene
  • Ensure proper documentation, record organization, and pipeline updates
  • Run and analyze pipeline, backlog, and revenue flow reports
  • Identify data inconsistencies and implement corrective actions
  • Strengthen adoption of systems including CRM, ERP, accounting, payroll, and expense tools

 

4. Revenue Operations & Finance Coordination

  • Coordinate with Finance on invoicing, billing accuracy, and AR follow-ups
  • Ensure alignment between purchase orders, billing details, and revenue recognition
  • Support commission tracking and documentation accuracy
  • Assist with cash flow visibility, reporting, and financial process coordination
  • Identify automation opportunities to reduce manual processing and errors

 

5. Cross-Functional Coordination

  • Serve as the central coordination point across:
  • Sales (order readiness, forecasting, reporting)
  • Finance (billing, AR, compliance)
  • Operations (fulfillment, shipment tracking)
  • Customer Service (RMAs/RGAs resolution)
  • HR (onboarding, payroll coordination)
  • IT (systems access, tools, and enablement)
  • Escalate and resolve issues impacting revenue execution or customer delivery
  • Participate in pipeline, forecasting, and operational review meetings

 

6. HR, Team Building & Organizational Development

  • Support HR operations including onboarding, offboarding, payroll coordination, and compliance
  • Recruit, hire, and onboard new team members as the organization grows
  • Coach and develop team members to build accountability and ownership
  • Identify performance gaps and take appropriate action
  • Help transition responsibilities as additional roles are added

 

7. Supply Chain, Logistics & After-Sales Operations

  • Oversee shipment coordination, inventory alignment, and warehouse-related processes
  • Manage RMAs, returns, and logistics issue resolution
  • Coordinate with vendors and international teams on inventory and fulfillment
  • Ensure smooth after-sales execution and customer communication

 

8. IT, Systems & Internal Enablement

  • Support internal systems including Salesforce, ERP, QuickBooks, ADP, and related platforms
  • Coordinate IT setup for new hires (equipment, access, tools)
  • Ensure system compliance, maintenance, and process consistency
  • Act as a first-line internal systems enabler to remove operational bottlenecks

 

9. Process Improvement & Operational Scaling

  • Document and enforce SOPs across workflows
  • Identify friction points and implement process improvements
  • Increase automation, reduce manual rework, and improve accuracy
  • Build scalable infrastructure to support company growth
  • Improve visibility into backlog, margins, and operational performance

 

Success Metrics (KPIs)

  • Order cycle time and time from closed-won to invoice
  • Order accuracy and reduction in manual corrections
  • Backlog visibility and revenue forecasting accuracy
  • Billing handoff completeness and AR efficiency
  • RMA/RGA cycle time and resolution speed
  • Reduction in operational bottlenecks and manual rework
  • System adoption and data integrity across platforms

 

Qualifications:

  • 10+ years in operations leadership, sales operations, order management, or business administration
  • Experience in a technical, industrial, or B2B environment
  • Strong background in CRM systems (Salesforce preferred) and familiarity with ERP systems
  • Experience working cross-functionally with Finance, HR, Supply Chain, and Sales
  • Proven ability to build teams and improve organizational structure
  • Strong analytical, process design, and problem-solving skills
  • High attention to detail with the ability to remain decisive in ambiguous situations

Additional Qualifications

  • Experience with tools such as Salesforce, QuickBooks, ADP, or similar platforms
  • Exposure to international business environments (Germany/Europe a plus)
  • German or Spanish language skills are advantageous
  • Strong communication skills in English required
  • Eligibility to work in the U.S. without sponsorship preferred
  • Stable career history with long-term leadership potential
