Position Overview

The ADR Legal Assistant provides administrative, scheduling, case coordination, and client-service support throughout the full lifecycle of a case. This position requires someone who is highly organized, detail-oriented, and able to manage multiple priorities with accuracy and an appropriate sense of urgency.

The role also provides an opportunity to develop case management skills and gain hands-on experience supporting ADR proceedings.

Responsibilities

  • Provide administrative and case coordination support to legal staff and judges.

  • Complete assignments accurately, efficiently, and within established deadlines.

  • Communicate regularly with legal staff and local leadership regarding case activity, scheduling, deadlines, and potential issues.

  • Support legal staff, clients, attorneys, and judges throughout the full lifecycle of arbitration and mediation matters.

  • Coordinate conference calls, pre-hearing preparation calls, mediations, arbitrations, and other case-related proceedings.

  • Assist with scheduling, correspondence, document preparation, hearing logistics, and client communications.

  • Provide responsive and professional customer service to clients, attorneys, judges, legal staff, and internal team members.

  • Learn and apply ADR processes, procedures, and case management best practices.

  • Work alongside experienced legal staff and provide case coverage when appropriate.

  • Support one or more judges under the direction of senior legal staff or a manager, as assigned.

  • Work with judges to understand their practice preferences and help administer and grow their ADR practices.

  • Moderate conference calls and assist with pre-hearing and hearing preparation.

  • Review closed cases to assess client satisfaction and identify potential future business opportunities.

  • Perform additional administrative and case-support responsibilities within a similar scope, as assigned.

Qualifications

Required

  • Two to four years of experience in a legal administrative, legal assistant, or similar support role.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple cases, deadlines, and competing priorities.

  • Strong attention to detail and commitment to accuracy.

  • Professional and client-focused approach to communication and service.

  • Proficiency with Microsoft Office and other software programs required for the position.

  • Ability to work a hybrid schedule in New York City.

Preferred

  • Bachelor’s degree in a related field.

  • Two to four years of experience in a legal and client-service environment.

  • Experience supporting arbitration, mediation, litigation, or other dispute resolution matters.

  • Familiarity with ADR processes, terminology, and procedures.

  • Knowledge of judges’ practice preferences and local Resolution Center procedures.

Compensation

The base salary range for this position is $60,000–$78,000 annually. Actual compensation will depend on factors determined by the hiring company, including the selected candidate’s qualifications, relevant experience, skills, geographic location, and internal equity considerations.
