ATHENA HR Talent is seeking a Part-Time Administrative / Office Support Specialist to support a dynamic real estate office in Suffolk, VA. This position is essential to ensuring smooth office operations and exceptional service for tenants. The ideal candidate will bring reliability, organizational skills, and prior experience in property management or real estate operations, combined with a strong attention to detail and customer service mindset.

Key Responsibilities

  1. Property Management Support:

    • Serve as the primary point of contact for tenant communications, addressing inquiries, submitting work orders, and resolving minor tenant concerns.
    • Assist with tenant onboarding, lease documentation, and maintaining accurate tenant records.
    • Provide support for property-related processes, ensuring timely and efficient service delivery.
  2. Financial and Transaction Management:

    • Process rent payments and securely manage financial transactions.
    • Issue accurate receipts and maintain up-to-date financial records.
    • Ensure all money-handling procedures adhere to company policies and compliance standards.
  3. Administrative Operations:

    • Respond to tenant and vendor emails promptly and professionally.
    • Maintain organized files, records, and office documentation to support efficient operations.
    • Assist with scheduling and tracking work orders and repairs for property maintenance.
  4. Reliability and Team Coverage:

    • Provide dependable coverage during the first two weeks of every month and additional support during the supervisor’s PTO.
    • Act as a key team member in ensuring office operations run smoothly, even during high-demand periods.

Qualifications and Requirements

  • Residency Requirement: Must reside in a nearby city (Franklin, Windsor, Chesapeake); applicants living in Suffolk County are not eligible.
  • Experience:
    • Prior experience in property management, real estate operations, or administrative support is required.
    • Familiarity with tenant management, rent collection, and basic lease processes is highly preferred.
  • Dependability: Demonstrated history of reliability and consistent work ethic.
  • Financial Integrity: Comfortable with handling monetary transactions and adhering to strict confidentiality and security protocols.
  • Background Check: Ability to pass a comprehensive background check prior to hire.
  • Communication Skills: Strong verbal and written communication skills for effective tenant and vendor interactions.
  • Technology Skills: Basic proficiency with email and office management systems.
