Position Overview

They are seeking a friendly, organized, and efficient Office Assistant to be a key member of their administrative team. As the first point of contact for many of their clients, this role is crucial to providing an outstanding customer experience. The ideal candidate has a passion for helping people and a keen eye for detail, particularly with data entry. You will be responsible for ensuring the smooth flow of information within their office and maintaining the accuracy of critical data in our Enterprise Resource Planning (ERP) system.

Key Responsibilities

Customer Service & Front Office

  • Serve as the first point of contact for the company, answering and directing phone calls and emails in a professional and courteous manner.
  • Greet clients and visitors, ensuring they have a positive experience from the moment they connect with us.
  • Respond to customer inquiries, provide information about our products/services, and resolve issues promptly.
  • Assist the sales and operations teams by providing necessary information and support for client accounts.

Data Entry & ERP Management

  • Accurately and efficiently enter critical business data into our ERP system (system is user friendly) including sales orders, purchase orders, and new customer information.
  • Maintain and update customer and vendor records to ensure data integrity.
  • Generate basic reports from the ERP system as requested by management.
  • Verify data for accuracy and completeness, correcting any discrepancies.

Administrative Support

  • Process incoming and outgoing mail and packages.
  • Monitor and maintain office supply levels, placing orders as needed.
  • Provide general administrative support to the team, including filing, scanning, and copying documents.
  • Help maintain a clean and organized office environment.

Qualifications & Skills

  • 1-2+ years of experience in an administrative, customer service, or data entry role.
  • Experience working with an ERP system is strongly preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills with a strong customer service orientation.
  • Fast and accurate typing and data entry skills with high attention to detail.
  • Strong organizational and time-management abilities, with a proven ability to handle multiple tasks at once.
  • A positive, proactive, and team-oriented attitude.
  • Ability to work independently and take ownership of tasks.
