Position Overview

As a Virtual Assistant supporting business executives, you will play a key role in keeping operations running smoothly, priorities aligned, and leaders focused on high-value work. Responsibilities include:

 

Responsibilities:

  • Manage executive calendars, meetings, and communications, including scheduling, reminders, agendas, follow-ups, inbox triage, drafting responses, and escalation as needed
  • Keep projects, priorities, and deadlines on track by coordinating tasks, maintaining reports, and supporting ongoing client and internal initiatives
  • Maintain CRM systems, contact databases, and relationship data with accuracy, organization, and discretion
  • Support events, travel logistics, and coordination with vendors, partners, and internal teams
  • Prepare documents, reports, presentations, and client-ready materials, including support for proposals, contracts, and client onboarding
  • Assist with marketing communications, content scheduling, and basic outreach support as needed
  • Handle expense reporting, administrative support, and the maintenance of systems, workflows, and documentation
  • Anticipate leadership needs, proactively support executives, and continuously identify opportunities to improve processes and operational efficiency

 

Qualifications

  • Proven experience as a Virtual Assistant, Executive Assistant, or in a similar administrative or operational support role
  • Strong organizational and time-management skills, with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High attention to detail and accuracy
  • Proficiency with common business tools (Google Workspace, Microsoft Office, calendars, CRM systems, project management tools, etc.)
  • Ability to work independently and exercise sound judgment
  • Professional discretion and the ability to handle confidential information
  • Comfortable supporting executives and client-facing work
  • Reliable internet connection and ability to work remotely
