Our client is a global powerhouse in designing, manufacturing, and supporting advanced electronic systems for the United States government. They are currently seeking a meticulous, proactive Procurement and Contracts Coordinator to join their team in Annapolis Junction, MD.
Position Overview:
This role is dedicated to supporting procurement and contract operations by managing the processing of orders, contracts, proposals, and related documentation. You will collaborate with suppliers and internal teams to ensure accuracy and timely execution of procurement activities.
Key Responsibilities:
- Issue Requests for Quotations (RFQs) to suppliers, including gathering, comparing, and negotiating offers.
- Handle non-FMF Purchase Orders (including Direct, IR&D, and Indirect) as well as FMF Purchase Orders.
- Process Procurement Card Forms and Manufacturing Orders.
- Manage supplier returns by processing Nonconforming Material Reports, RMAs, and Shipping Request Forms.
- Investigate and resolve invoicing discrepancies flagged by Accounts Payable Finance.
- Maintain and update Project Bill of Materials (BOM) spreadsheets tracking Purchase Orders, quantities, and due dates.
- Process demand inputs from MRP and address shortages by troubleshooting system errors.
- Compile monthly Supplier Metrics reports, charts, and scorecards based on key performance indicators (on-time delivery and quality).
- Process and enter new supplier documentation into Costpoint.
- Maintain accurate records of purchase requisition approver titles and processes, project numbers, and sales orders using Costpoint, aligned with the Signature Authority and Project Set-Up Forms.
- Prepare NDAs, bailment agreements, service agreements, and consultant agreements (coordinating with consultants for Costpoint set-up).
- Oversee proposal submissions and secure supplier quotes as needed.
- Maintain contract folders and manage contract close-outs.
- Assist with any other tasks as assigned.
Qualifications:
- 1-3 years’ experience in procurement, contracts, pricing, or accounting.
- Prior experience with Deltek Costpoint is a plus.
- High attention to detail, with strong time management and organizational abilities.
- Capable of multitasking in a dynamic, fast-paced environment.
- Travel: Up to 10%.
- U.S. citizenship is required as documentation is needed for obtaining a Secret clearance.
