Seeking a IT Automation Specialist for a law firm client that recently migrated to Cogent, a SQL Server-based case management platform. This person will lead the next phase of automation and integration while taking ownership of the firm’s broader IT systems. You’ll be the in-house expert that will build and maintain Cogent workflows, support firm hardware and telephony, monitor backend server health, manage database queries, and serve as the in-house technical authority and primary liaison among software vendors, the outside IT provider (Tricor), Cogent support, and firm staff.

IT Automation Specialist Responsibilities:
  • Build and refine Cogent workflows that replace manual processes
  • Configure Cogent to read client files and export files to each client’s/vendor’s specifications
  • Set up/maintain reporting and data formatting for efficient data exchange, including recurring reports that are manual today
  • Format client data to load claims into the system, managing EDI (Electronic Data Interchange) claims data ingestion and performing side-by-side troubleshooting of import discrepancies across CSV, tab-delimited, caret-delimited, text, and Excel formats
  • Format county-specific forms so the software can read them, and create merged forms from our collection database
  • Manage and maintain SQL Server operations, write/execute queries, and establish remote server connections to access databases; Handle everyday IT needs, from monitor problems to the occasional “it’s not working”
  • Monitor and troubleshoot servers, laptops, and VoIP phones (RAM, reboot errors, hardware issues, payment provider API connections), escalating to external IT or developers only when needed, and help us understand our SQL Server environment (a Cogent requirement)
  • Oversee vendor onboarding, installation, and implementation, and verify new software works as promised. (e.g., Agria, Tricor)
  • Work directly with software vendors to make sure we’re using every feature needed
  • Oversee proper installation of third-party software
  • Know our server and system specifications; plan for future technology needs and reduce our reliance on costly outside support

IT Automation Specialist Profile:
  • Bachelor’s degree in Information Technology, Computer Science, Management Information Systems, Software Engineering, or Data Analytics preferred
  • 5+ years of experience
  • Must be proficient with SQL to write efficient queries, generate operational reports, establish remote database connections, troubleshoot data integrity issues in backend databases, and increase database performance
  • Experience troubleshooting hardware, phone systems, server health/RAM issues, API connection failures, and complex system errors independently, paired with comfort in the data itself: formatting files, spreadsheet work, and recognizing varying file formats (tab/caret-delimited, CSV, Excel)
  • Highly proficient with Microsoft 365 ecosystem (Teams, Outlook, and Microsoft-based operational environments)
  • Microsoft accreditations/certifications are a PLUS
  • Experience documenting current workflows, spotting bottlenecks, and redesigning processes to run more efficiently, using automated triggers and alerts, plus dashboards and automated reporting that track performance metrics
  • Solid experience with system backups, patch management, security protocols, system monitoring, and data governance: securely handling sensitive or regulated data and maintaining compliance standards
  • Learning agility: Cogent is proprietary software and we’ll train you on it. Experience with it is a bonus, not a requirement
  • Strong communication skills: you can talk shop with vendors, translate business needs into technical solutions, ask precise technical hardware/software specification questions, and explain it all clearly to the rest of the team
  • An enthusiasm for automation and a drive to make things work better
  • Experience with collections or legal software is a PLUS but not required
