Our client is seeking a highly organized, detail-oriented Operations Coordinator / Scheduler to join their growing team. This position is being hired to provide coverage for an upcoming maternity leave, but the company was already discussing expanding the scheduling team prior to the leave, creating the possibility for a long-term opportunity for the right person.
This is an excellent opportunity for someone who enjoys solving scheduling puzzles, communicating with employees and clients, and keeping daily operations running smoothly in a fast-paced environment.
Schedule
- Approximately 20 hours per week
- Monday-Friday
- Daily attendance at a 9:30 AM team meeting is required
- Remaining work hours are flexible, allowing you to complete your schedule around the required morning meeting
How you will contribute
As the Operations Coordinator/Scheduler, you'll play an essential role in ensuring security personnel are properly scheduled and client needs are consistently met.
Responsibilities include:
- Create, maintain, and adjust employee schedules
- Coordinate coverage for call-outs, schedule changes, and client requests
- Ensure all client locations remain appropriately staffed
- Communicate schedule updates with employees and clients via phone, text, and email
- Maintain work orders and scheduling records
- Utilize the company's workforce management software to coordinate schedules, employee information, and operational updates
- Monitor staffing needs while balancing employee availability and client requirements
- Support day-to-day operations by proactively resolving scheduling conflicts
- Prepare accurate scheduling documentation and maintain organized records
Please Note: This position focuses exclusively on scheduling and operations. It is not a recruiting role.
Training & Onboarding
The selected candidate will receive comprehensive remote training through Zoom and will work directly alongside the current Scheduler prior to maternity leave to ensure a seamless transition.
Leadership remains highly involved and available for ongoing support throughout training.
What we need from you
Qualified candidates will have:
- Previous scheduling, dispatching, workforce coordination, or operations experience
- Strong organizational and time management skills
- Excellent written and verbal communication
- The ability to multitask in a fast-paced environment
- Strong computer proficiency
- Experience learning and navigating scheduling or workforce management software
- The ability to work independently while remaining responsive in a remote environment
Experience with scheduling platforms, HRIS systems, or workforce management software is highly preferred.
