Payroll & Billing Specialist 

Job Title: Payroll & Billing Specialist

Hours: Mon-Wed 10a-4p & Thurs 9a-4p (25 hours/week)

Reports To: Accounting Manager

Summary

Responsible for the accurate and timely completion of billing, collections, and accounts‑receivable functions. Ensures compliance with payer contracts, Medicare/Medicaid regulations, and generally accepted accounting principles (GAAP). Supports financial operations through effective reimbursement processes, system oversight, and reporting.

 

Key Responsibilities

  • Manage end‑to‑end billing, collections, and accounts‑receivable processes to ensure timely reimbursement.

  • Maintain billing and client account records in compliance with GAAP and state/federal program requirements.

  • Apply comprehensive knowledge of payer contracts to ensure accurate billing according to contract terms.

  • Serve as a resource on Medicare, Medicaid, and government billing regulations.

  • Monitor aged accounts receivable; resubmit overdue claims, escalate delinquent accounts to collections, and prepare bad‑debt reports.

  • Gather, analyze, and report key billing metrics to the Accounting Manager.

  • Assist with reconciliation of billing system reports to the general ledger.

  • Supervise and reconcile cash receipts and bank deposits in accordance with policy.

  • Maintain positive relationships with patients, families, payers, and referral sources.

  • Protect confidentiality of patient and organizational information through strong operational controls.

  • Recruit, train, and supervise billing and collections team members.

 

Education & Experience

  • Associate degree in Accounting, Business Administration, or related field (Bachelor’s preferred).

  • Minimum 3 years of healthcare billing and collections experience, preferably in home‑care operations.

  • Proficiency with billing information systems and related software.

  • Demonstrated supervisory and leadership experience.

  • Strong knowledge of corporate business management and governmental regulations.

  • Excellent communication, negotiation, and public‑relations skills.

  • High accuracy in managing detailed financial information.

  • Ability to work tactfully with patients, families, referral sources, and payers.

  • Demonstrates autonomy, organization, assertiveness, flexibility, and teamwork.

 

Physical Requirements

  • Ability to walk, talk, hear, and perform manual tasks involving handling or operating objects.

  • Close‑vision capability and ability to adjust focus.

  • Ability to push, pull, lift, or carry up to 20 lbs.
