Location: Lakewood, Colorado. This is an on-site role for the first year to support training and collaboration, with hybrid potential after about 1 year based on performance and business needs.

Note: We are prioritizing experienced law firm legal assistants. If you are senior and want a lead role, we can place you as a Senior Practice Assistant. If you are experienced and prefer a traditional support role, we can place you as a Legal Assistant.

Job Description

  • Provide high-level administrative and legal support to transactional attorneys supporting HOA clients
  • Draft, format, proofread, and finalize correspondence, memos, and legal documents from attorney drafts
  • Manage calendars, appointments, and deadline reminder systems using a master calendar process
  • Coordinate client communications, answer calls, take messages, and maintain strong client relations
  • File legal documents with courts and other appropriate entities
  • Edit monthly client invoices and support accurate time and billing workflows
  • Maintain and help improve department processes and SOPs, including flagging non-compliance when appropriate
  • Take on advanced legal support projects across the transactional department based on your experience level
  • Serve as a point person for department protocol and best practices if placed in the senior track
  • Provide backup coverage for other assistants as needed
  • Maintain consistent, reliable attendance and meet deadlines in a fast-paced environment

Qualifications

  • 5+ years of law firm legal assistant or practice assistant experience
  • Excellent proofreading, grammar, and document formatting skills with strong attention to detail
  • Strong ability to prioritize competing deadlines and support multiple attorneys
  • Proficiency with Microsoft Outlook, Word, and Excel
  • Experience with billing, case management, and document management systems preferred (TABS, PracticeMaster, NetDocuments, or similar)
  • Professional, tactful communication skills with clients, attorneys, and staff
  • Comfort working in a high-volume environment with clear deadlines and expectations
