Client Service Associate – Financial Planning

Our client, is a respected wealth management firm known for delivering exceptional service to every client relationship. They are seeking a polished and detail-oriented Client Service Associate who will ensure all client account activity is handled with care, accuracy, and professionalism. This position plays a key role in supporting advisors and maintaining the high standards clients expect.

Key Responsibilities

  • Serve as back up to the Director of First Impressions as needed (to include answering and screening all incoming calls, and front desk coverage)
  • Provide administrative support for client account onboarding, including preparation and submission of custodial paperwork.
  • Process routine account maintenance — beneficiary changes, address updates, money movement requests, and more — ensuring accuracy and timeliness.
  • Maintain organized and complete client records across CRM, custodian software, and internal systems.
  • Follow compliance and documentation requirements meticulously in all activities.
  • Prepare standard reports and materials in support of client meetings.
  • Monitor outstanding items and proactively follow up with clients or custodians to ensure all actions are completed.
  • Offer prompt, professional service for basic client inquiries or direct requests to advisors when needed — always reinforcing a high-touch client experience.

Qualifications

  • 1–3- years of administrative or client service experience, preferably in financial services or banking.
  • Familiarity with investment account operations or custodial forms is a plus.
  • Exceptional attention to detail, with the ability to manage process-driven work efficiently.
  • Strong written and verbal communication skills with a polished, client-first demeanor.
  • Proficiency with Microsoft Office and comfort learning new systems.
  • Dependable, organized, and committed to accuracy.
