A confidential, growth-oriented organization is seeking a highly capable Executive Assistant to serve as a trusted partner to the Chief Executive Officer. The organization operates in a fast-paced, sophisticated environment and the Executive Assistant will engage with senior leadership, board members, and external stakeholders across complex, high-impact initiatives. The Executive Assistant will serve as a critical operational partner to the CEO, working closely with leadership and cross-functional teams to manage priorities, communications, and day-to-day execution. The role offers a hybrid schedule with regular in-office presence and flexibility to support time-sensitive matters as business needs require.

About the Role

  • Manage and protect the CEO’s calendar, priorities, communications, and daily workflow with a strong sense of urgency and judgment
  • Serve as a proactive gatekeeper, triaging requests and ensuring alignment with executive priorities
  • Coordinate complex meetings including executive leadership, board, investor, and external stakeholder engagements
  • Prepare executive briefing materials, presentations, agendas, and follow-up documentation
  • Draft, edit, and proofread high-level communications and materials with a focus on clarity, tone, and accuracy
  • Track key deliverables, action items, and deadlines to ensure consistent follow-through across teams
  • Coordinate domestic and international travel, including detailed itineraries and real-time adjustments
  • Manage expense reporting with accuracy and timeliness
  • Support board and governance processes, including logistics, materials preparation, and coordination with internal stakeholders
  • Assist with investor relations coordination, including scheduling, materials distribution, and meeting logistics
  • Maintain highly organized records, files, and documentation with strict attention to confidentiality
  • Serve as a liaison between the CEO and internal teams, partners, and external stakeholders
  • Support day-to-day office operations including visitor coordination, meeting readiness, and administrative logistics
  • Assist with special projects and cross-functional initiatives as needed

About You

  • 8+ years of experience supporting a CEO or senior executive in a fast-paced, high-growth or corporate environment
  • Bachelor’s or Associate’s degree preferred, or equivalent professional experience
  • Exceptionally organized with outstanding attention to detail and time management skills
  • Strong written and verbal communication skills with a polished executive presence
  • Demonstrated ability to prioritize, problem-solve, and operate independently with sound judgment
  • High level of discretion and professionalism when handling sensitive and confidential information
  • Comfortable managing multiple priorities in a dynamic, high-expectation environment
  • Proficient in Microsoft Office Suite and modern collaboration tools
