Hybrid Executive Assistant to CEO
A well-established executive search firm with beautiful offices on Park Avenue in the 50s is looking for an Executive Assistant to support the Founder/CEO. The company is a leading boutique executive search firm specializing in placing senior leaders and board members across industries. The CEO is a recognized voice in the industry — active in the market, sought after as a speaker and podcast guest, and deeply engaged with a broad network of clients, candidates, and peers.
The role is hybrid: Tuesday-Thursday in office, Mondays and Fridays remote. The CEO had an EA for 17 years. There are 2 interns assisting the office.
About the Job:
¨ Manage the CEO's calendar, inbox, and correspondence with a focus on protecting her time for highest-impact work
¨ Think strategically, own outcomes end-to-end, and act as a trusted extension of the CEO
¨ Draft communications in her voice across a wide range of internal and external audiences
¨ Build systems and workflows that shift the team from reactive execution to proactive planning
¨ Track and act on relationship opportunities across the CEO's network to support business development
¨ Develop and maintain client-facing materials including pitch books, one-pagers, and event collateral
¨ Coordinate podcast guest outreach, scheduling, and communications
¨ Take ownership of communications
¨ Coordinate scheduling, logistics, and preparation for client and candidate meetings
¨ Serve as a polished, responsive point of contact that reinforces the firm's reputation at every stage
¨ Support candidates through the process with clear communication and professionalism
¨ Provide structured support for firm initiatives including bootcamps, training programs, and strategic projects
¨ Keep events and logistics running smoothly
¨ Manage event logistics — invitation lists, RSVPs, and on-site coordination for industry gatherings, nonprofit galas, panels, and firm-hosted events
¨ Help shape and maintain a consistent, polished external presence across all channels
¨ Conduct research using AI
¨ Some off-hour availability required (check emails over the weekend)
About You:
¨ Minimum of 7 years of experience supporting a CEO (large, publicly traded co. preferred)
¨ BA/BS from a college or university a plus
¨ Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
¨ Comfortable owning the full lifecycle of a project — from concept to completion — without heavy oversight
¨ Familiarity with executive search, professional services, or a similarly relationship-driven industry is a plus
¨ Genuine interest in leveraging AI and technology tools to work smarter
¨ Strong communication skills: written and verbal
