Hybrid Executive Assistant to Partner at Leading Professional Services Firm
A professional services firm is seeking an Executive Assistant to support a senior leader of a major practice group in its New York office. This firm represents clients in complex, high-stakes matters across multiple industries and operates in a fast-paced, sophisticated professional services environment. The Executive Assistant will serve as a trusted right hand, acting as a strategic gatekeeper, relationship manager, and operational anchor across both professional and select personal responsibilities. The role is hybrid-4 days in office, 1 day remote. There may be weeks when 5 days in office will be required.
About the Job:
- Provide comprehensive executive support including complex calendar and inbox management, high-level correspondence, and coordination with clients, firm leadership, and external stakeholders.
- Manage a high-volume schedule including meetings, time-sensitive legal and client commitments, business development activities, and travel across time zones.
- Coordinate domestic and international travel, detailed itineraries, dining reservations, and logistics.
- Prepare briefing materials, presentations, reports, and confidential documentation.
- Organize and facilitate meetings from preparation through follow-up, tracking action items to ensure completion.
- Support client development efforts, including event coordination, professional networking activities, and thoughtful client gifting.
- Process expenses, assist with billing coordination, and maintain accurate records.
- Exercise the highest level of discretion when handling confidential business and personal matters.
- Serve as a trusted representative and relationship builder with clients, colleagues, and external partners.
- Assist with select personal logistics and special projects as needed.
- Off-hour availability required.
About You:
- Bachelor’s degree preferred.
- Minimum of 5+ years supporting a senior executive, ideally within a professional services environment.
- Exceptionally organized, proactive, and resourceful, with the ability to manage multiple competing priorities.
- Highly motivated self-starter with impeccable judgment and a strong sense of ownership.
- Demonstrated ability to handle highly sensitive information with discretion and professionalism.
- Excellent written and verbal communication skills with a polished executive presence.
- Calm, adaptable, and responsive in a fast-paced, high-expectation setting.
- Technically proficient, with advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook).
