Personal Assistant to CEO/Founder
A real estate company with offices in Georgetown (31st St NW) is looking for a Personal Assistant to the CEO/Founder. The office has 16 employees. There are some administrative duties and the role is 5 days: a combination of office, private residence, and local travel. The private residence is 3 blocks from the office. The company’s focus is on curating elegant hotels, restaurants, apartments, and prestigious commercial and retail spaces, managing some of the most historically significant and beautiful buildings in downtown DC, Dupont Circle, and Georgetown, including Victorian, Tudor, Federal, and Beaux-Arts properties and has been in business for almost 50 years. This role combines oversight of personal affairs and household operations with basic office administration. The principal is in FL 6 months a year,
About the Job:
¨ Manage the Principal's personal calendar, appointments, and daily schedule.
¨ Coordinate personal travel, including transportation, accommodations, itineraries, and reservations.
¨ Screen and prioritize phone calls, emails, and correspondence.
¨ Prepare and organize documents, records, and confidential information.
¨ Track important dates, deadlines, birthdays, anniversaries, and recurring obligations.
¨ Handle personal errands and special requests.
¨ Assist with personal shopping, gift purchasing, and event planning.
¨ Maintain confidentiality regarding all personal and financial matters.
¨ Oversee the day-to-day operations of one residence.
¨ Coordinate and supervise household employees, vendors, contractors, and service providers.
¨ Work with and coordinate with boat staff and adult dependents’ caretakers to ensure all needs are met.
¨ Schedule maintenance, repairs, inspections, and seasonal services.
¨ Manage household inventories and ensure supplies are adequately stocked.
¨ Coordinate deliveries and oversee household projects.
¨ Assist with home organization and space management.
¨ Ensure residences are maintained to the Principal's standards.
¨ Track personal expenses and maintain organized financial records.
¨ Process invoices and submit bills for payment.
¨ Reconcile receipts and maintain expense reports.
¨ Source, evaluate, and coordinate vendors for household and personal services.
¨ Monitor vendor performance and ensure quality service.
¨ Maintain relationships with trusted service providers.
¨ Make reservations for dining, entertainment, and recreational activities.
¨ Coordinate guest accommodations and hospitality arrangements.
¨ Manage special assignments as directed by the Principal.
¨ Research products, services, travel destinations, and other topics.
¨ Coordinate projects involving multiple vendors or service providers.
¨ Identify opportunities to improve household efficiency and organization.
¨ Manage the Principal's business calendar by coordinating meetings, conference calls, and appointments.
¨ Screen and prioritize business correspondence, including emails, phone calls, and mail.
¨ Coordinate communication between the Principal and business associates, advisors, and key contacts.
¨ Maintain electronic and physical filing systems for business-related documents.
¨ Track action items and follow up on deadlines, commitments, and pending matters.
¨ Support the Principal with light project coordination and administrative tasks as assigned.
¨ Keep inventory and place orders for office supplies.
¨ Work with vendor to ensure office cleanliness meets company standards.
¨ Organize office events, meetings and other gatherings as required.
¨ Occasionally fill in at the reception desk when necessary.
¨ Provide additional administrative support to CFO and Corp Director of HR when needed.
About You:
¨ Minimum of 3 years of experience as a Personal Assistant, Executive Assistant, Household Manager, or similar role.
¨ Experience managing private residences or supporting high-level executives preferred.
¨ Valid driver's license with a clean driving record.
¨ Ability to work a flexible schedule, including occasional evenings or weekends as needed.
¨ Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and Quicken.
¨ Familiarity with calendar management and travel booking platforms.
¨ Comfortable using smartphones, tablets, and productivity applications.
¨ Ability to learn new software and technology quickly.
