Executive Assistant to Corporate Development Leader, Wilton, CT
A global technology/energy company that emphasizes sustainability is looking for an Executive Assistant to the Global Corporate Development Leader. The role is in office with the potential for working remotely some days after settling in. The assistant will also have office manager responsibilities. The CT office is small: under 10 employees. The company has approximately 250,000 employees globally. The current assistant has been in the role for 15 years.
About the Job:
¨ Coordinate and prioritize meetings for the executive
¨ Vet and prioritize the executive’s emails
¨ Maintain the calendar across multiple time zones and prioritize on the executive’s behalf
¨ Track deadlines and follow-ups
¨ Enable efficient communication among stakeholders: organize workflows, track financials
¨ the executive office
¨ Prepare and organize presentations, agendas, meeting materials, and follow-up notes for leadership, board, and external engagements
¨ Organize team meetings, off-sites, and special events, including logistics, communications, and technology setup
¨ Partner with internal stakeholders across Finance, Legal, HR, Communications, and executive support functions
¨ Coordinate complex travel arrangements, including itineraries, accommodations, visas, and expense reconciliation
¨ Manage office operations such as supplies, vendor coordination, facilities support, and workspace readiness
¨ Ensure compliance with applicable external and internal regulations, procedures, and guidelines
¨ Support expense reporting, purchase orders, invoices, and basic budget tracking for team-related spending
About You:
¨ Minimum of 7 years of experience supporting a CEO
¨ BA/BS from a college or university a plus
¨ Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
¨ Experience with SAP Concur
¨ Strong communication skills written and verbal
¨ Strategic thinker
¨ Understand the importance of confidentiality and trust when supporting a CEO
¨ Experience coordinating across global teams and multiple time zones preferred
¨ Polished, professional demeanor and the gravitas to interact with high-level executives
¨ Outstanding communication skills
