About the Job:

  • Serve as a strategic partner to the COO, helping manage priorities, optimize executive time, and support key organizational initiatives
  • Manage complex calendars, scheduling, meeting coordination, travel arrangements, and executive logistics
  • Prepare executive briefings, presentations, reports, dashboards, and meeting materials to support leadership decision-making
  • Compile, analyze, and synthesize operational data into clear, actionable insights and executive-level summaries
  • Monitor key initiatives, action items, and organizational priorities, ensuring projects remain on track and stakeholders remain informed
  • Coordinate leadership meetings, planning sessions, retreats, and cross-functional initiatives from preparation through follow-up
  • Serve as a communication bridge between leadership, employees, and external stakeholders, helping maintain alignment and information flow across the organization
  • Build strong relationships across departments while exercising professionalism, discretion, and sound judgment
  • Support process improvement efforts by identifying opportunities to streamline workflows, enhance reporting, and improve operational efficiency
  • Assist with technology adoption, reporting systems, and digital tools that support productivity and organizational effectiveness
  • Conduct research, gather information, and prepare recommendations to support strategic and operational decision-making
  • Manage expense reporting, travel coordination, vendor communication, and administrative operations in support of executive leadership

About You:

  • 5+ years of Executive Assistant, Executive Operations, Chief of Staff, Business Operations, Project Coordination, or similar experience supporting senior leadership
  • Strong business acumen with the ability to analyze information, identify trends, and communicate insights effectively
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • High emotional intelligence with the ability to build trust, navigate sensitive situations, and maintain a professional presence
  • Outstanding written and verbal communication skills with experience preparing executive-level reports, presentations, and correspondence
  • Resourceful, proactive, and solutions-oriented with strong follow-through and attention to detail
  • Comfortable operating in a fast-paced environment with evolving priorities and organizational change
  • Strong proficiency with Microsoft Office Suite, reporting tools, spreadsheets, and business systems
  • Quick learner with the ability to adapt to new technologies, platforms, and processes
  • Bachelor's degree preferred or equivalent professional experience

Full time in office: 7:45 am – 5:00 pm with occasional availability outside of standard business hours.
