A professional services firm is seeking an Executive Administrative Assistant to support a senior leader of a major practice group in its Midtown Manhattan office. This firm represents clients in complex, high-stakes matters across multiple industries and operates in a fast-paced, sophisticated professional services environment. The Executive Administrative Assistant will work with the Executive Assistant and serve as a critical operational support partner to the principal. The role is 5 days in office with flexibility for paid overtime before or after hours as business needs require.

About the Job:

  • Provide high-level administrative support including calendar coordination, meeting scheduling, and inbox monitoring under the direction of the Executive Assistant.
  • Execute complex scheduling logistics with precision, ensuring all details (locations, confirmations, car service, catering, materials) are thoroughly vetted and confirmed.
  • Coordinate domestic travel arrangements, detailed itineraries, dining reservations, and transportation logistics.
  • Prepare and proofread correspondence, reports, presentations, and client-facing materials with strong attention to tone and detail.
  • Process expenses and assist with billing coordination and record maintenance.
  • Support business development efforts including event coordination, networking activities, and client logistics.
  • Maintain accurate and organized electronic files, documentation, and tracking systems.
  • Collaborate closely with the Executive Assistant and leadership team to ensure seamless execution of priorities.
  • Respond to shifting priorities with professionalism and composure in a high-expectation environment.
  • Assist with occasional personal logistics such as scheduling, travel coordination, and ad hoc requests.
  • Exercise discretion and professionalism when handling confidential business matters.

About You:

  • Bachelor’s degree preferred.
  • Minimum 2+ years of experience supporting a senior executive, ideally within a professional services environment.
  • Highly detail-oriented with the ability to execute tasks precisely and follow instructions accurately.
  • Strong Microsoft Office skills and high overall technical proficiency.
  • Exceptional written communication skills with polished, executive-level tone.
  • Poised, articulate, and professional in interactions with senior executives and clients.
  • Service-oriented mindset with a “make it happen” attitude.
  • Comfortable working in a high-pressure environment with evolving expectations.
  • Collaborative and team focused.

Salary, bonus; benefits (medical, dental, vision, 401(k)); paid time off and holidays. Overtime eligible.

Hours: Full-time; 9:00 am - 5:00 pm with flexibility to address time-sensitive matters as needed.
