A confidential, client-focused financial services firm is seeking an experienced Executive Administrative Assistant to support senior leadership within a high-touch wealth management practice. This role is ideal for a detail-oriented, service-driven professional who thrives in a fast-paced, client-facing environment and takes pride in delivering an exceptional client experience. The Executive Administrative Assistant will serve as a key partner to leadership, helping to manage day-to-day operations, support client relationships, and ensure seamless coordination across administrative, operational, and client service functions. The role requires five days in office.

About the Role

  • Provide comprehensive administrative and operational support to senior leadership within a wealth management practice
  • Manage complex calendars, schedule client meetings, and coordinate day-to-day priorities
  • Serve as a primary point of contact for clients, ensuring a high-touch, responsive, and professional experience
  • Prepare and process client paperwork, financial transactions, and account documentation with accuracy and attention to detail
  • Coordinate communication between advisors, clients, and financial institutions
  • Assist in preparing client presentations, reports, and meeting materials including charts, graphs, and financial illustrations
  • Maintain accurate client records, documentation, and CRM systems in accordance with compliance standards
  • Support marketing initiatives including client events, seminars, and digital communications
  • Assist with inbound calls, inquiries, and appointment coordination while maintaining a polished and professional demeanor
  • Track follow-ups, client requests, and action items to ensure timely execution and strong client relationships
  • Partner closely with leadership to support business planning, workflow management, and operational efficiency
  • Ensure adherence to regulatory and compliance requirements within the practice
  • Support general office operations and administrative tasks as needed

About You

  • 3–7+ years of experience supporting financial advisors, registered representatives, or senior leadership in a financial services or banking environment
  • Bachelor’s degree preferred (Finance, Business, Communications, or related field)
  • Strong client service orientation with a “high touch” approach and a genuine interest in building relationships
  • Exceptionally organized with strong attention to detail and ability to manage multiple priorities
  • Excellent written and verbal communication skills with a polished, professional demeanor
  • High level of integrity, discretion, and professionalism when handling confidential information
  • Proactive, self-motivated, and able to work both independently and collaboratively
  • Comfortable working in a fast-paced environment with evolving priorities
  • Strong technical proficiency including Microsoft Office and CRM systems
  • Experience with broker/dealer platforms or financial services systems is a plus

Competitive base salary with bonus eligibility, plus a comprehensive benefits package.

Full-time (9:00 am – 5:00 pm M-Th, 9:00 am – 2:00 pm F), in-office role with flexibility to support client and business needs as required.
