Executive Assistant to CEO, Chicago, IL
A global company is looking for an Executive Assistant to the CEO. The role is in-office, with the opportunity to work remotely when the CEO travels (the CEO travels up to 50% of the time). The culture of the office is positive and supportive.
About the Job:
¨ Managing complex calendar, coordinating meetings, appointments, and competing priorities to ensure clear visibility into daily, weekly, and long‑term schedules
¨ Identify and implement opportunities to streamline workflows, enhance processes, and improve overall organizational effectiveness for the CEO and leadership team
¨ Vet and prioritize the CEO’s emails
¨ Prepare materials for meetings (including Board meetings) distribute materials, and ensure appropriate follow‑up and support
¨ Lead projects and initiatives, including conducting research and analysis on behalf of the CEO
¨ Coordinate and partner with other Executive Assistants
¨ Coordinate complex travel arrangements, including detailed itineraries, accommodations, and logistics
¨ Attend events with the CEO
¨ Process expense reports
¨ Handling highly confidential and sensitive information with the highest level of discretion, professionalism, and integrity
¨ Some off-hour availability required
About You:
¨ Minimum of 7 years of experience supporting a CEO
¨ BA/BS from a college or university (or 10 years of experience supporting a CEO)
¨ Experience supporting a senior executive in a global organization a plus
¨ Advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook) and related productivity tools, with an aptitude to learn and leverage new technologies
¨ Strong communication skills: written and verbal
¨ Strategic thinker
¨ Polished, professional demeanor and the gravitas to interact with high-level executives
¨ Outstanding communication skills
