About the Job:
¨ Coordinate and prioritize meetings for the CEO
¨ Guard the CEO’s time with conviction — push back diplomatically, offer alternatives, and escalate only what genuinely requires a decision
¨ Track open action items, follow-ups, and commitments across the CEO’s portfolio of relationships and initiatives
¨ Partner with the Chief of Staff to ensure the CEO’s schedule reflects the right priorities, with preparation time built in
¨ Vet and prioritize the CEO’s emails
¨ Compose and prepare confidential correspondence
¨ Prepare briefing materials, agendas, and pre-read documents so the CEO walks into every meeting prepared
¨ Draft and proofread internal and external communications that are polished, on-brand, and high-signal
¨ Prepare materials for meetings; internal, Board, and client meetings
¨ Coordinate logistics for quarterly executive offsites, board meetings, and client events in partnership with the Chief of Staff
¨ Serve as a professional and personable point of contact for executives, clients, board members, and partners
¨ Coordinate Board meetings, prepare materials for the meetings and follow up on action items
¨ Maintain a busy calendar and prioritize on CEO’s behalf
¨ Coordinate complex travel arrangements
¨ Anticipate scheduling conflicts, travel implications, and time zone complexity before they become problems
¨ Arrange quarterly leadership meetings and travel to attend and take notes (length of time away 1.5 to 3 days)
¨ Process expenses, invoices, and reimbursements accurately and on time
¨ Some off-hour availability required
About You:
¨ Minimum of 10 years of experience supporting a CEO (background at professional services or consulting firm a plus.
¨ BA/BS from a college or university
¨ Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
¨ Fluency with modern productivity and AI tools — you use technology to work faster and smarter, not just to keep up
¨ Strong communication skills: written and verbal
¨ Strategic thinker
¨ Understand the importance of confidentiality and trust when supporting a CEO
¨ Dynamic and proactive comfortable in a fast-paced environment.
¨ High EQ and professional polish — you represent the CEO’s office in interactions with board members, clients, and senior leaders
¨ Outstanding communication skills
