A boutique hospitality-focused private equity firm is seeking an exceptional Executive Assistant to the Chief Operating Officer as well as being the Office Manager.
This role extends beyond traditional executive support. The Executive Assistant will function as a trusted partner to the COO while also overseeing day-to-day office operations for a collaborative seven-person investment team. The ideal candidate thrives in a fast-paced, service-oriented environment and brings a polished hospitality mindset, operational rigor, and proactive ownership mentality. Prior experience working in the hospitality industry in some capacity is required as well as the candidate MUST be bi-lingual, English/Spanish.
About the Job:
·Have access to the COO’s calendar to schedule meetings, primarily to book meetings for internal stakeholders to optimize time and priorities
.Serve as gatekeeper, liaison, to investors, clients, vendors, and external stakeholders
. Prepare presentations, reports, briefing materials, and executive correspondence, as needed
.Draft professional emails on behalf of the COO
· Oversee daily office operations for a seven-person Brickell office including supplies, vendors, technology coordination, facilities management
· Act as culture carrier and hospitality lead — ensuring a welcoming, polished office environment for guests, investors, and partners
· Coordinate expenses, invoices, and administrative financial tracking
· Assist with special projects, operational initiatives, and firmwide process improvements
· Leverage modern productivity tools and AI-enabled platforms to enhance organization and operational efficiency
About You:
· Fully bilingual — fluent in English and Spanish (required)· Prior professional experience within the hospitality industry (hotel operations, luxury hospitality, restaurant groups, lifestyle brands, or related service environments)
· At least 5 years of experience supporting senior executives in the hospitality space.
· Experience managing an office or serving in a combined Executive Assistant / Office Manager role
· Strong service orientation with a “high touch”, hospitality mentality
· Exceptional organizational judgment, prioritization skills, and proactive problem-solving skills
· Comfortable operating in a small, collaborative boutique office.
· High emotional intelligence and professional maturity; anticipates needs before they arise
· Outstanding written and verbal communication skills
· Microsoft Office Suite; experience creating and editing PowerPoint presentations; familiarity with AI productivity tools preferred
