A national investment firm that partners with leading companies is looking for an Executive Assistant to the CEO. The office is in SoHo and has 30 employees in the NYC office. The role is 5 days in office and there is off-hour availability required. The CEO travels a lot and needs to be able to contact the EA if there is a hitch or other emergency. About the Job:

¨     Proactively anticipate the CEO’s needs and requirements throughout the day, remain ahead of developing issues, and demonstrate problem solving skills through teamwork and collaboration across the firm.

¨     As required, candidate will work with household and family staff to seamlessly integrate personal life and work life

¨     Calendar management with an outstanding degree of accuracy and thoughtfulness. Timely and professional coordination of substantial meeting/call requests, with mindfulness towards CEO’s shifting priorities.  Ensure the CEO is reminded of meetings in advance, possesses all relevant meeting material, and remains on schedule each day.

¨     Schedule and organize complex activities such as meetings, conference calls, event appearances, and travel itineraries which all require high volume calendar maintenance and the ability to make and communicate last minute changes professionally and effectively to the CEO and all involved parties

¨     Prepare complex travel itineraries and manage the entire travel process, ensuring accuracy of logistics and timing (flight, hotel, transport, etc.). The CEO travels almost exclusively private, therefore, familiarity with private travel, FBO’s, and plane coordination is essential

¨     Collaboration and teamwork required with CEO’s Chief of Staff, Security Program Manager, Air Operations Team, and family and household staff to ensure proactive communication and alignment for all CEO schedule and travel (Business; Personal) requirements.  Additionally, close collaboration with Valor Co-President EA’s is required to ensure seamless calendar alignment as necessary

¨     Off-hour availability required- as the first line of support to the CEO, must be available 24/7. Must be flexible and comfortable with a dynamic schedule, while demonstrating appropriate response times to emails, texts, phone calls after office hours and on weekends.

 

About You:

¨     Minimum of  10 years of experience in a related support position

¨     Experience with private travel booking, national and international

¨     Able to maintain strict confidentiality and discretion with sensitive information

¨     Skilled at building productive relationships representing the CEO while engaging the CEO’s personal and professional network, as well as the internal personnel

¨     Able to effectively handle multiple deadlines, navigate competing priorities, and be assertive with the CEO and other senior management to ensure the team adheres to deadlines, while managing short and long-term priorities

¨     BA/BS from a college or university

¨     Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)

¨     Polished, professional demeanor

¨     Excellent written and verbal communication skills

¨     High emotional intelligence, sound judgment, and a proactive mindset

¨     Comfortable working independently in fast-moving environment
