Our client is seeking an experienced Office Manager & Accounting Assistant to support a growing and thriving organization. Key Responsibilities

Office Management (50%)

  • Oversee daily office operations and serve as the primary point of contact for internal staff, external vendors, and visitors.

  • Implement, document, and improve office procedures to support efficiency and growth.

  • Manage vendor relationships, contracts, and purchasing of office supplies, services, and equipment.

  • Support executive leadership with scheduling, meeting coordination, and preparation of presentations or materials.

  • Partner with leadership to evaluate and recommend tools, systems, and processes that improve workflow and operational effectiveness.

Accounting/Finance Support (50%)

  •  Process invoices, bills, payments, and expense reports accurately and on time.

  • Enter financial data and manage bookkeeping records in QuickBooks.

  • Assist with preparing financial reports, reconciliations, and budget updates.

  • Support payroll processing and maintain employee time/leave records.

  •  Partner with the executive team to support financial planning, forecasting, and analysis.

  • Maintain strict confidentiality in all financial and employee-related matters.

Qualifications

  • 5+ years of experience in office management, administrative leadership, or accounting/finance support roles.

  • Prior experience working directly with executives and serving as a partner in decision-making processes.

  •  Proficiency in QuickBooks and Microsoft Office Suite required.

  • Strong understanding of bookkeeping and accounting principles; experience preparing reconciliations, journal entries, and financial reports preferred.

  • Proven ability to manage multiple projects in a fast-paced environment, while maintaining accuracy and attention to detail.

  • Driven to strive for continuous improvement, with a focus on streamlining processes for efficiency and effectiveness.

  • Excellent organizational skills with the ability to set priorities and adapt quickly to changing needs.

  • Exceptional communication skills, both written and verbal.

  • Strong interpersonal skills with the ability to influence, collaborate, and build trust across teams.

  • Demonstrated track record of confidentiality, integrity, and professionalism.
