JOB DESCRIPTION PROJECT MANAGER
East of Collins Expediting Inc. uses a 90 day training frame for new employees. This time frame supports our adherence to the at-will nature of your employment with the company, which allows employees to leave at any time, with or without cause. It also allows East of Collins Expediting Inc. to terminate any employee at any time, with or without prior notice or cause.
This position as the Project Manager assists and reports to City Managers, and is responsible for projects from beginning to end. Project Managers are in charge of keeping the client informed and at ease throughout the permitting process, managing client’s expectations.
Job Duties/Activities:
● Comprehend the projects’ intricacies, understand all permitting needs for the project, specially Master Permits.
● Maintain both the city’s dashboard as well as processes and jobs in Zoho CRM up to date with all notes, submittal info and statuses.
● Prepare submittals for the building department and other government agencies, ensuring that packages are complete. On occasion the PM will do submittals / runs to government agencies as needed (if no expeditor available).
● Fill out/ review/ submit applications and all applicable supportive documents with the building department.
● Package plans/permits for delivery for expeditors. On occasion the PM will do pickups & deliveries to clients as needed (if no expeditor available).
● Organize project work for the next day.
● Schedule inspections (with Receptionist), and obtain inspection route on day of inspection and notify client of route. Attend inspections as needed.
● Request Construction Documents from clients, property owners, design professionals and contractors. Review accuracy and completeness of said Construction Documents.
● Make sure comments on projects are valid and applicable to the project. Coordinate with clients and all applicable parties (design professionals or contractors) for corrections to comments. Follow up on corrections.
● Make sure the expeditor helping for that day is receiving appropriate instructions and entering accurate information in notes in Zoho CRM.
● Create tasks for expeditors to assist for the day by submitting to Base via Zoho Cliq.
● Help the City Manager with all activities that require additional assistance.
● Meet with reviewers to discuss projects, comments, submittals.
● Set up meetings between client and city. Communicate directly with city clerks and city officials, whether verbally or in writing, as needed.
● Stay on top of getting county approvals, state approvals, sub-permits and any other applicable required approvals / permits as needed for any given project.
● Consult with the Accounting Department to close the file. Make sure all additional work has been entered into Zoho CRM and Accounting has billed for it.
● Ability to work under high pressure and high level of accountability.
