Executive Assistant to Partner, Prestigious Global Retained Search Firm, New York City/Hybrid

 

A global retained boutique executive search firm — specializing in roles within the Investment Banking, Investment Management sectors — is looking for the person who will sit at the center of one of its most demanding practices. This isn't an administrative seat on the periphery — it's a partnership. As the Partner's trusted right-hand, you'll have a front-row view of how a retained search practice actually runs: the clients, the candidates, the interviews across multiple time zones, the deals, and the family logistics that run alongside all of it. About the Job:

•         Own the Partner's calendar in full — professional and personal — and treat their time as the scarcest resource in the practice.

•         Act as Chief of Staff across day-to-day priorities: drive follow-through on key initiatives, flag what matters, and keep the practice moving.

•         Serve as gatekeeper and trusted liaison to clients, candidates, senior executives, and colleagues across the US and EMEA.

•         Run point on the inbox: prioritize what matters, protect focus, and craft correspondence in the Partner's voice.

•         Liaise with clients to schedule interviews across multiple time zones using Zoom, Microsoft Teams, WebEx, and similar platforms.

•         Produce the materials that move the business — research reports, weekly updates, client documents, presentations, and executive summaries.

•         Prepare materials and coordinate logistics ahead of client meetings.

•         Keep the database current: adding new contacts, uploading resumes, updating candidate records, and ensuring all meetings are logged.

•         Build domestic and international travel from the ground up, down to the last connection and the dinner reservation.

•         Handle expense reporting and restaurant reservations for both business and personal purposes.

•         Manage the Partner's personal calendar and inbox, staying on top of all correspondence relating to the children — school communication, parent/teacher meetings, birthday party invitations, sports and activities.

•         Liaise closely with the children's nanny on day-to-day scheduling, school appointments, after-school and weekend activities, and school vacation activities.

•         Help the family organize ad-hoc events, such as children's birthday parties, and assist in researching and booking family vacations.

•         Put AI and modern tools to work every day — not as a novelty, but as the reason one person can deliver what used to take three.

Base salary plus bonus, and comprehensive health benefits.

About You:

•         5+ years supporting a senior executive as an Executive/Personal Assistant — experience in Executive Search, financial services, or another professional services environment strongly preferred.

•         Prior experience balancing both professional and personal support responsibilities preferred.

•         Strong academic record; Bachelor's degree required.

•         You reach for technology instinctively, learn new tools fast, and already use AI to make your work better.

•         Advanced command of the Microsoft Office Suite, along with the ability to learn the firm's internal database system.

•         Interest in financial markets preferred.

•         Well-versed in New York's dining and events scene, with a genuine interest in what's new around the city and knowledge of luxury hotels and resorts worldwide preferred.

•         Discretion — comfort and experience handling highly confidential personal and professional information with absolute discretion.

•         Attention to detail — impeccable proofreading skills, especially when it comes to client and candidate-facing documents.

•         Superb organizational judgment — you know what's urgent, what's important, and what can wait.
