Pay: $21.50 - $26.50 per hour

Location: Primarily on-site in Southampton, New Jersey, with the opportunity to work one day from home.
Note: To be considered, candidates should have permanent U.S. work authorization and relevant coordination or administrative experience in rebuild, restoration, construction, plumbing, HVAC, or a similar project-based environment.

Job Description
- Coordinate administrative, clerical, and operational functions for rebuild and reconstruction projects
- Support Rebuild Project Managers and operations leadership with daily project coordination
- Maintain accurate job files, notes, contracts, and project documentation
- Track project schedules, inspections, material deliveries, and subcontractor activity
- Communicate with customers regarding timelines, updates, changes, and next steps
- Assist with billing and collections support, including progress billings, change orders, and final invoices
- Coordinate with insurance companies, adjusters, subcontractors, vendors, and clients throughout the rebuild process
- Prepare, review, and route contracts, selections, purchase orders, work authorizations, and other project paperwork
- Track project progress, costs, and administrative milestones and assist with reporting and status updates
- Respond quickly and professionally to subcontractors, agents, clients, and internal teams
- Support office staff, construction management, and sales teams as needed
- Answer incoming calls and assist clients with professionalism and empathy
- Help keep rebuild operations organized, timely, and aligned from start to finish
Qualifications
- 2+ years of project coordination, project administration, service coordination, or office operations experience
- Experience in construction, restoration, rebuild, plumbing, HVAC, or a similar field preferred
- Strong organizational, time-management, and follow-through skills
- Ability to juggle multiple projects and priorities in a fast-paced environment
- Strong written and verbal communication skills
- Comfortable handling documentation, scheduling, billing support, and project tracking
- Experience using job management or construction management systems preferred; PSA experience is a plus
- Reliable attendance, professionalism, and strong attention to detail
- Associate’s degree preferred; Bachelor’s degree is a plus
