Clinical Manager

Job Description  

The Clinical Manager oversees day-to-day clinical operations across all clinic site This includes oversight of MA staffing, clinical support roles of medical triage and biologics, procurement, clinical vendor management, and compliance. The Clinical Manager is integral in ensuring the effectiveness and efficiency of our clinical support teams.

  • Schedule: Full-time, 5 days, 40+ hours per week. Normal opening hours are 7AM-5PM, Monday -Friday. Extended hours, evenings, and weekends, as needed.
  • Location: Across all of our offices. The position is based in Colorado Springs; however, regular site visits will be required in this position. Current offices (on average, visit each site one to four times per month based on clinic size): Pueblo, Cañon City, Woodland Park, Castle Rock, Briargate (COS), Northgate (COS), Central (COS), and Broadmoor (COS) locations.
  • Managers work onsite. Remote work up to 3 days/month, if schedule allows.

Duties and Responsibilities

Lead effective, efficient team:

  • Direct reports: 2-3 Senior MAs, medical triage/biologics team members, and 1-3 float MAs. Lead and develop direct reports.
  • Dotted line reports: ~50 Medical Assistants. MAs report directly to their medical providers (doctors and APPs). Clinical Manager provides support to medical providers in leading effectively, including but not limited to assisting with supporting onboarding and training efforts, recommending professional development paths, providing performance metrics, maintaining training records, conducting check ins, etc. Coordinate pre-health program for MAs, working with providers for events that help MAs with their continued professional path.
  • Clinical Manager will develop a strong pipeline of internal candidates for leadership roles from both dotted-line and direct reports. 

Manage clinic staffing and schedules: Draft monthly schedule and fill immediate, emergent gaps. Review the schedule and process to ensure teams are staffed appropriately to maximize our ability to care for patients efficiently and effectively (for both dotted-line and direct reports). Work across departments to ensure staffing is optimal based on patient volume. Respond to team call-offs and ensure appropriate clinic staffing adjustments are in place.

Oversee clinical budget: Manage assigned clinic budget, including medical supply budget. Negotiate supply expenses and contracts. Coordinate with team to ensure medical equipment repairs are completed promptly and routine maintenance is performed at appropriate intervals. Make recommendations for adjustments on stocking process and supply levels.

Improve and standardize clinical processes: Identify and implement process improvements including and not limited to improved workflows, technology advancements, third party supplements to the electronic medical record (EMR), and compliance-related workflow changes. Communicate and coordinate training across teams to ensure consistency in clinic operations. Develop thorough understanding of the medical assistant role, clinical operations, and day-to-day processes in the clinic to build trust and make informed recommendations on improvements.

Support clinical compliance: Partner with Director of Clinical Services, providers and clinical team to ensure OSHA, CLIA, and overall clinical compliance. Stay up to date on latest clinical regulations pertaining to OSHA and CLIA.

Monitor and communicate team status: Track monthly metrics on team efficiency, volume, and patient satisfaction to identify areas for improvement. Work across providers and MAs to communicate status and help teams stay on track. 

Develop high performing teams: Train and launch MAs and new providers in systems and operations, so that teams ramp up effectively. Oversee retraining of teams at regular intervals and when needed for teams to meet metrics.

Be part of practice-wide initiatives:

  • Coordinate with other managers to execute new initiatives, including new office openings, new provider/scope launches, and other practice-wide projects. 

Requirements

  • At least bachelor’s degree
  • At least 5 years’ experience in healthcare with electronic medical records (specialty medical clinic experience preferred)
  • At least 3 years of management and supervisory experience, leading multiple or cross-functional teams preferred
  • Proven track record of leading efficient, effective, high-morale teams
  • Patient-facing experience as a healthcare support staff member (such as medical assistant, CNA, RN, front desk) preferred
  • High proficiency in Excel, PowerPoint, MS Office suite

Compensation & Benefits

This position is a combination of base salary and annual bonus. Total starting cash compensation is $100,000 to $125,000/year depending on experience.

  Physical and Mental Work Requirements

  • Must be able to remain in a stationary position during shift
  • Moves throughout the building to complete tasks during shift
  • Moves equipment weighing up to 50 pounds
  • Must be able to complete tasks on site in busy medical settings with diverse groups of people
  • Must be able to adhere to process protocol in fast paced clinic environments
  • Must be able to apply established protocols during challenging patient situations
  • Operate a computer and other office machinery, such as a telephone, calculator, printer, copier, scanner, or fax
  • Be able to communicate accurately, effectively and frequently
  • Can identify color on the computer and software used
  • Ability to drive independently to our offices
  • Have safe transportation. Must maintain a clean driving record and provide proof of insurance

Salary Description

$100,000-$125,00
