Position Overview

Our client is seeking a highly organized, proactive, and reliable Office Manager to be the backbone of their daily operations. This is a multi-faceted role that is central to their company's smooth functioning. The ideal candidate is a master of multitasking who thrives in a fast-paced environment and is comfortable wearing many hats, including administrative, financial, and human resources. You will be instrumental in shaping their office culture and ensuring their team has the support it needs to succeed.

Key Responsibilities

Office & Administrative Management:

  • Serve as the main point of contact for office-related matters, including mail, supplies, and errands.

  • Assist in managing relationships with vendors and service providers.

  • Organize and maintain office common areas, ensuring a professional and productive environment.

  • Coordinate and plan company events, meetings, and team-building activities.

  • Provide administrative support to senior leadership as needed, including scheduling and travel arrangements.

  • Implement and maintain office policies and procedures to improve operational efficiency.

Financial Administration:

  • Accounts Payable (AP): Process vendor invoices, manage expense reports, and ensure timely payments.

  • Accounts Receivable (AR): Create and send client invoices, track payments, and follow up on outstanding accounts.

  • Assist with bank reconciliations and month-end closing procedures.

  • Liaise with their Controller to ensure financial records are accurate and up-to-date.

Human Resources (HR):

  • Assist with the employee lifecycle, including posting job descriptions, scheduling interviews, and conducting new hire onboarding.

  • Administer employee benefits programs (medical, dental, etc.), including enrollment and answering employee questions.

  • Maintain accurate and confidential employee records and personnel files.

  • Track Paid Time Off (PTO), sick leave, and other absences.

  • Serve as a trusted resource for employees regarding HR policies and procedures.

  • Assist in planning and executing employee engagement and wellness initiatives.

Qualifications & Skills

  • 3+ years of experience in an Office Manager, Administrative Manager, or similar role.

  • Proven experience with bookkeeping, accounts payable, and accounts receivable is highly desired.

  • Experience with basic HR functions (onboarding, benefits administration) is required.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.

  • Exceptional organizational and time-management skills with the ability to prioritize tasks and meet deadlines.

  • Excellent written and verbal communication skills.

  • High level of discretion and professionalism in handling confidential information.

  • A proactive, problem-solving mindset with strong attention to detail.

  • Ability to work independently and as part of a small, collaborative team.

  • A positive attitude and a genuine desire to help create an amazing workplace.
