Overview

Reporting to the Chief of Staff, this role is primarily focused on enabling the CEO, President and Chief of Staff (the “Executives”) of a best-in-class, $6B industrial company to work more effectively and efficiently across an expanding range of business lines, cross-functional initiatives, and growth platforms. This individual will serve the needs of the team by managing daily and long-term projects and initiatives in close collaboration with the Executives.

This role represents a unique opportunity for someone with the right background, interests, and capabilities to expand their business acumen and exposure to a leading industrial operating business. By managing projects and work streams across the enterprise, as well as a broad network of internal and external relationships, the Assistant Chief of Staff will help accelerate the progress of key initiatives, and generally contribute to the advancement of the company’s short-term and long-term goals.

What You Will Contribute to the Team

Against this backdrop, the Assistant Chief of Staff will support the smooth operation of the Executives’ offices, including supervising the administrative support function for the Executives, organizing, setting agendas for, and arranging follow-ups from meetings and conferences, as well as managing special projects and strategic initiatives critical to the Executives. Specific areas of responsibility and ownership include the following:

Project Orchestration:

  • Overseeing the development and implementation of critical projects on behalf of the
  • Executives, in close collaboration with company leadership.
  • Providing hands-on support to ensure that large-scale, cross-functional projects continue to move forward, both on-time and on-budget.
  • Triaging and prioritizing projects and workstreams on behalf of the Executives and ensuring open lines of communication with the relevant stakeholders.

Communications:

  • Working with the company’s communications team to develop coherent and compelling narratives regarding the key attributes driving the company’s business and goals.
  • Filtering and summarizing daily news and other content for the Executives.
  • Managing and developing contacts/executive relationships.

Key Meeting Preparation:

  • Preparing and prioritizing upcoming commitments for the Executives.
  • Developing agendas, executive briefing materials and decks for meetings, events and travel.
  • Developing background materials in coordination with functional and business unit leaders.
  • Attending calls and meetings, as directed by the Chief of Staff; capturing major takeaways; and partnering with the executive team to ensure appropriate and timely follow-up.

Supervising Administrative Support:

  • Working with the executive assistant(s) to prioritize and manage a complex and dynamic calendar, while maintaining a realistic schedule for the Executives that includes sufficient time to focus on projects and enables strategic thinking about the direction of the company.
  • Working with the Chief of Staff to exercise a “gatekeeper” and “gateway” function to protect the Executives’ time, while simultaneously enabling key stakeholders and constituents to have ready access when necessary to advance the interests of the company, its ownership and its employees.
  • Managing the CEO’s inbox to help prioritize, reduce wasted time on unnecessary emails, and ensure the most important messages are handled in a timely manner.
  • Coordinating travel, including developing itineraries and scheduling meetings with critical participants.
  • Working with the GAF Events team, and taking a leading role in planning and coordinating executive offsite retreats, key cross-company conferences and engagements for the Executives.

Liaison Role:

  • Serving as a liaison to the administrative team at Standard Industries (our parent company) and our own senior management teams.

What You Will Bring to the Position:

  • Bachelor of Arts/Science required.
  • 7+ years of experience in a dynamic and fast-paced corporate environment.
  • Uncompromising ethics, integrity, and discretion.
  • Exceptional public speaking, verbal and written communication skills, with a proven ability to collaborate effectively with and influence senior executives.
  • Exceptional project management and process development abilities.
  • Drive to grow, improve processes, and assume increasing levels of responsibility.
  • Sound judgment and creative problem solving skills, possessing the ability to know when and how to resolve an issue independently and when to involve the Executives.
  • Finely-honed emotional intelligence and self-awareness; intuitive sense of when to lead and when to support.
  • Ability to thrive in a meritocratic environment, where work ethic, unsurpassed attention to detail, and a roll-up-your-sleeves mentality are required.
  • High degree of urgency with high degree of composure, and clear-eyed realism with unfailing optimism.

  • Availability on evenings and weekends in the event (as necessary, but tends to be infrequent) urgent matters require attention.
