Overview:  We are seeking a Service Coordinator for our HVAC service department.   The ideal candidate will have strong communication skills, time management skills and customer service skills.  They will also has some experience in scheduling and dispatching, invoicing, and fielding phone calls and emails. 

Key Responsibilities:  

  • Schedule and dispatch work orders

  • Maintain accurate records of service requests, work orders, materials ordered and customer interactions

  • Dispatch technicians in an efficient manner

  • Work with local vendors to acquire parts and materials for various jobs

  • Manage a high volume of incoming calls and emails from clients requesting service

  • Monitor service requests and dispatch appropriate technician(s) in a timely manner

  • Communicate with customers regarding both past due and current invoices

  • Identify opportunities for improvement in office processes

  • Submit permits and warranty paperwork to the appropriate authorities

  • Maintain a high level of accuracy, consistency, and professionalism in all daily interactions

  • Participate in the on-call schedule – Shared within the office team

Qualifications:  

  • Background in dispatching, service management, or commensurate experience

  • Strong organizational skills

  • Excellent communication and customer service abilities

  • Familiarity with industry software, protocol, and vocabulary is a plus
