Our client, a Houston area law firm, is seeking a highly organized and detail-oriented Paralegal/Records Manager to join their team. This is a newly created position for an insurance defense firm located in the Galleria area. The firm offers a hybrid schedule after 90 days of employment. This role is ideal for a seasoned legal professional who can provide paralegal support to all offices managing the firm’s legal records, document retention policies, and case management systems. The ideal candidate should be skilled in both legal research and information governance.

Key Responsibilities:

  • Conduct legal research and prepare case summaries and chronologies.
  • Assist attorneys with case preparation, trial support, and hearings by providing all requested records.

  • Coordinate with clients, courts, and outside counsel as needed.
  • Maintain and oversee the firm’s physical and digital records in accordance with legal and regulatory requirements.

  • Develop and implement records retention and destruction schedules.

  • Ensure proper indexing, classification, and retrieval of case files and firm documents.

  • Administer document management software (e.g., iManage, NetDocuments, or equivalent).

Qualifications:

  • Minimum 4+ years of paralegal experience in a law firm setting, with 2+ years in a records management or file administration role.
  • Strong knowledge of legal terminology, court procedures, and records retention laws.

  • Proficiency in legal software and case/document management systems.

  • Excellent organizational, research, and communication skills.

  • Ability to maintain confidentiality and exercise sound judgment.

  • Familiarity with Texas state and federal court systems.

  • Experience with litigation support tools (e.g., Relativity, CaseMap).

  • Prior involvement in implementing or updating document retention policies.
