Our client, a growing Houston area law firm, is looking to hire an experienced Appellate Legal Assistant to join their team on a permanent/direct hire basis.
 
The candidate for this position will be successful if they can execute various secretarial duties of a confidential nature. These tasks will include working with attorneys, paralegals and other members of the firm with a series of administrative functions. Therefore, the candidate will have to have effective time management and organizational skills coupled with the ability to be detail-oriented.

 

Responsibilities

  • Knowledge of litigation (e-filings), trial procedures, and federal and state court procedures and rules.
  • Must know Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Prepare pleadings and discovery documents for filing and service.
  • Schedule depositions with attorneys, clients, witnesses, and court reporters.
  • Schedule conference calls and on-site/off-site meetings.
  • Arrange and coordinate travel arrangements.
  • Calendar depositions, hearings, trials, and all associated dates.
  • Manage Outlook calendar of all appointments, conferences, and meetings.
  • Open new matters, run conflict checks for the partner’s review, and prepare engagement letters.
  • Document management and organization, saving documents and emails to a document management system.
  • Become familiar with court rules and filing procedures.
  • Prepare cover letters for attorney bills.
  • Submit the attorney's expense reports.
  • Submit new client matter forms to accounting/
  • Assist layers with collections and A/R.
  • Prepare binders for attorneys as requested.
  • Manage bills for third-party vendors, process check requests, and follow up with accounting.
  • Perform other duties as assigned by the Firm Administrator.

 

Qualifications

  • 3 or more years of related experience in appellate law required.
  • Proven aptitude for learning new software applications.
  • Experience with electronic and court filing procedures in other states is a plus.
  • Experience with NetDocs documents management system is a plus.
  • Must know Microsoft Office Suite (Word, Outlook, Excel, PowerPoint)
  • Willingness to assist others when needed is a must.

  • Pressure-Proof Performer: Remain calm, flexible, and proactive when working under pressure, offering creative solutions, and maintaining efficiency in any situation.
