Job Title: On-Site Staffing Coordinator / Manager

Location: Client Facility (Specific Address/Location)

Position Type: Full-Time, Exempt/Non-Exempt (based on FLSA status)

Reports To: Branch Manager / Regional Director (of the staffing agency)

 

Overview

The On-Site Staffing Coordinator is the dedicated point of contact responsible for managing the daily operations of the staffing program at our client's location. This role is crucial for ensuring client satisfaction, maintaining high levels of communication, and overseeing the entire lifecycle of temporary employees from recruitment to performance management and offboarding.

 

Key Responsibilities

Client Relationship Management:

·       Build and nurture a strong, long-lasting relationship with the client partner, serving as the primary liaison between the client and the staffing agency's branch office.

·       Communicate regularly with client management and department heads to understand specific staffing requirements, anticipate future needs, and adjust strategies accordingly.

·       Conduct periodic service reviews with the client to assess performance, address concerns, and ensure all contractual obligations and KPIs are met.

 

Recruitment and Onboarding:

·       Manage the full recruitment lifecycle at the client site, including sourcing, screening, interviewing, and placing qualified candidates for a variety of roles.

·       Coordinate all pre-employment requirements such as background checks, drug screens, I-9 verification, and safety orientations.

·       Facilitate the initial new-hire check-ins and onboarding process, including facility tours and introduction to supervisors, to ensure a smooth transition and positive start for new employees.

 

Employee Management and Support:

·       Monitor daily attendance, performance, and workplace behavior of the on-site workforce, addressing issues in real-time.

·       Manage employee relations at the site, including coaching, counseling, performance evaluations, and conflict resolution.

·       Implement and manage employee retention and recognition programs to improve morale and reduce turnover.

·       Conduct exit interviews to gather feedback and identify areas for continuous improvement in the staffing process.

 

 

 

Administrative and Compliance:

·       Oversee and ensure accurate timekeeping and payroll processes for all temporary employees, resolving any discrepancies promptly.

·       Prepare and submit regular reports on key metrics, including headcount, attendance, turnover, and productivity data.

·       Ensure full compliance with all company policies, client-specific standards (e.g., safety, manufacturing practices), and relevant federal and state employment laws.

·       Complete injury reports and conduct initial accident investigations, communicating appropriately with the safety department.

 

Qualifications and Skills

Education:

High school diploma or equivalent required

Bachelor’s degree in human resources, Business Administration, or a related field is preferred.

Experience:

2-3+ years of experience in staffing, recruiting, on-site workforce coordination, or a related management role is highly preferred.


Skills:

·       Exceptional customer service and communication skills (verbal and written).

·       Strong organizational, problem-solving, and time management abilities with attention to detail.

·       Proficiency in Microsoft Office Suite and experience with Applicant Tracking Systems (ATS) or workforce management software.

·       Ability to work independently in a fast-paced, dynamic environment and manage multiple priorities effectively.

·       Strong interpersonal skills with the ability to build rapport with diverse individuals.

·       Bilingual (English/Spanish) may be required depending on the client location's workforce needs.
